Job Summary
The Wine Club Assistant serves as first line of contact for Hearst Ranch Winery Wine Club members. This position reports directly to the Wine Club Manager while also providing assistance to other departments as necessary. It is key that this individual brings a self-motivated work ethic and strong, customer service focused drive. This person will work closely with the Wine Club Manager and with other upper management as needed. The Wine Club Assistant is someone who prides themselves in customer service and is personable. This person should be well trained in email and phone etiquette. This position is based out of the Paso Robles location. Some duties may require work in San Simeon.
Regular Working Hours
Part Time with Full Time opportunities.
Flexible work week. Times subject to change during Wine Clubs or other events. Weekends, evening and/or early morning hours may be required.
Essential Duties
Wine Club
· Maintain excellent customer service as the first line of contact with Wine Club members by answering emails and phone calls for all Wine Club communications,
· Assist Wine Club Manager with Wine Club release billing, shipping, and scheduling,
· Support and assist the Wine Club department with data cleanup, updating member information, processing orders, and maintaining club relations,
· Organize and check club sign up forms for accuracy,
· Contact members with out-of-date payment methods to update billing information,
· Assist Shipping Manager and Wine Club Manager in order pack-outs,
· Lead communication with club members regarding shipping exceptions, reships, and pick up deadlines.
Administrative
· Assist admin office with answering emails and phone calls,
· Make reservations to visit the winery via Tock,
· Take and relay accurate messages to the appropriate parties,
· Provide Paso Robles tasting room staff with lunch breaks,
· Assist with other tasks as assigned.
Job Requirements/Qualifications
Education: Bachelor’s degree preferred or equivalent work experience.
Experience: 2 years administrative experience in wine industry.
Licenses/Certifications: Valid California Class C driver’s license and clean DMV record
Language Skills: Ability to communicate effectively in English, both orally and in writing. Ability to communicate in basic Spanish desirable.
Computer Skills: Working knowledge of Excel, Word, Outlook, WineDirect, Tock.
Physical: Must be able to stand for long periods and able to lift up to 50 lbs.
Pay Range
Hourly, $21-$23
