TS Range: 6/7 ($22.46)

SUMMARY: The Squaxin Island Workforce Development Intake Specialist is responsible for meeting and screening potential WFD clients. Squaxin Island WFD Intake Specialist assists clients in completing the application process and ensures all eligibility documents in the client file are within the parameters contained in the SPIPA Intertribal WFD Program Policies and Procedures Manual at intake. The Intake Specialist will prepare client case files. The Squaxin Island WFD Intake Specialist reports directly to the WFD Lead Case Manager. The employee will maintain Family Services departmental office hours. Some flexibility will be required based on WFD events.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Serve as initial contact for all WFD Employment & Training, Cash Assistance, and Childcare applicants.
  • Schedule & conduct intake appointments as outlined in Policy.
  • Assess & determine program eligibility of all WFD program applicants including Cash assistance, Childcare, and Employment & Training clients according to policy.
  • Assist applicants in completing & obtaining all required WFD documentation. Follow up on missing documents in a timely manner.
  • Maintain a database of all new applicants to track turnaround time from application to approval.
  • Enter all WFD applicant data electronically into Tribal Assistance System database. Accuracy & timeliness are critical in this position.
  • Data entry in Smartsheet tracking system.
  • Assist in the development of client plans at intake based on intake interviews & client assessments.
  • Prepare hard copy files for all incoming clients; ensure files are complete and accurate for Site Manager Approval.
  • Mail out Notice of Eligibility letters to all applicants, case note entry notices, and add each client to case checklist according to assigned Case Manager.
  • Complete annual re-certifications for continued client eligibility.
  • Act as a liaison to Washington State when opening and closing Cash Assistance cases and do so in a timely manner.
  • Create and maintain a community resource guide for staff and clients. Refer clients to other programs when necessary.
  • Assist with individual files and filing as directed.
  • Host community outreach events regarding WFD policies, procedures, and program eligibility.
  • Purchase & maintain promotional items for outreach events, activities, and client orientation sessions.
  • Provide quality customer service.
  • Attend monthly & weekly team meetings as directed.
  • Attend relevant trainings pertaining to WFD as directed by supervisor.
  • Transport clients on occasion.
  • Other Duties as assigned.

SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operation and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organizations.


MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.


CERTIFICATES, LICENSES, REGISTRATIONS: Must have a valid Washington State Driver’s License and proof of insurance and pass a background check including relevant criminal history. Must successfully pass Tribal Court and WA State background check.

This position requires close vision (clear vision at 20 inches or less) and an ability to adjust focus (ability to adjust the eye to bring an object into sharp focus).

Requirements:

EDUCATION and/or EXPERIENCE: BA OR AA and two years of experience working with low-income families. OR High School diploma/GED and four years of experience working with low-income families. One year of experience working in a Native American community preferred. Proficiency in Microsoft Word, Excel, and Access preferred.
