Job Summary:
The Client Services Associate I is responsible for all aspects of administrative support for Private Client and Custody Relationship Managers, Account Managers, and clients. This position assists Relationship Managers and Account Managers by processing of operational and administrative needs of clients and monitoring execution of all transactions by operations support and vendors. The Client Services Associate I addresses client questions of transactions, processing, issues or problems as requested and assists with the delivery of all products and services to clients. This position requires general to minimal supervision and handles moderately complex issues, referring the most complex issues to the Client Services Associate II orClient Services Associate Supervisor.
Primary Functions and/or Responsibilities:
· Monitor and process account transactions to clients by working closely with Relationship Managers and Account Managers to ensure completion of administrative tasks
· Prepare distribution requests per instructions from Relationship Managers and Account Managers. Monitoring the approval process, and distribution of funds.
· Resolve operational issues working with the Relationship Mangers and Account Managers to ensure that services are delivered accurately and timely to client
· Monitor and resolve daily overdrafts and cash balances to maintain compliance
· Monitor service and product delivery to clients by working closely with operational support staff to ensure completion of administrative tasks
· Assist Relationship Managers and Account Managers with providing client relations by handling inbound and outbound client communications. Identify and escalate issues to Relationship Managers and Account Managers that require additional review and inquiry
· Complete opening and closing documents, review for accuracy and completeness, and forward to Support Services or equivalent vendor service group for processing
· Monitor and update compliance matrices, customer contact matrices, and update appropriate tracking reports
· Coordinate with Relationship Managers and Account Managers, Tax Officer, outside accountants, and clients in the filing and payment process for the fiduciary and individual income taxes
· Contact for client on securities and transactional issues, questions or problems related to products/services we provide
· Other duties as assigned
Education and/or Experience:
· Four-year college degree in a related field preferred OR an equivalent combination of education and experience
· Bachelor’s Degree in related field Preferred and/or a combination of experience and education
· At least one year of prior trust administration experience required
· A background in investments, taxes or the legal area is preferred
· Completion of Cannon, ABA or other trust-related courses desired
Client Services Associate I -
o At least one year of prior trust administration experience required
Client Services Associate II –
o At least three years of prior trust administration experience required
Specific Skills, Knowledge & Abilities:
· Knowledge of legal/fiduciary responsibilities, securities processing, and trust operations preferred
· Ability to follow written and oral instructions
· Ability to process detail work accurately and in a timely manner
· Strong computer skills and ability to learn Bank and Trust Systems
