Job Description:
- Responsible for management/growth of service department
- Handles all incoming service calls including providing technical assistance to customers, service dispatching, tracking, and scheduling of calls, call status tracking and call changes, entering new service orders, collections, modifying existing orders, and handling all general service inquiries. May provide support and backup for other areas of the business.
- Receives in inventory and assigns to appropriate order for delivery
- Manages the warehouse inventory and inventory system
- Stages equipment in the warehouse for delivery
- Completes patient service intake including insurance verifications, data entry into Brightree software
- Create and prepare required forms required for order processing and insurance billing
- Request, obtain, and follow up on medical documentation from clinicians
- Enters and dispatches service orders daily
- Creates quotes and orders parts/materials for service work orders
- Act as primary point of contact for service customers to ensure expectations are met
- Ensuring technician receives appropriate information, monitoring each technician for any deviation from their set schedule, & proactively reporting any issues disrupting the “Flow of Schedule” to the Office Manager for assistance.
- Effectively communicate with technicians on any day-to-day situation that arises to ensure a steady process in a busy environment.
- Support, inform, prioritize, and coordinate service activities and resources across the company.
- Receives and maintains service parts inventory in the warehouse
- Maintains a working knowledge of current equipment, services, and insurance requirements
- Performs other duties as assigned.
Required Qualifications:
- High school diploma or equivalent required, college degree preferred
- Minimum 6 months experience in role that has regular communication with customers
- Clean Background Screen
- Knowledge of service industry
- Knowledge of insurance verification a plus
- Experience with Microsoft Office, fax, phones, printer/copier
Minimum Required Functions:
- Strong interpersonal skills and problem-solving
- Excellent communication and presentation skills both verbal and written
- Highly motivated, able to work independently, stationary 75% of the day
- Ability to work in a fast-paced office environment
- Demonstrate excellent customer service skills
Job Type: Full-time
Pay: $22.00 - $26.00 per hour
