Summary
The Shipping & Receiving Clerk is an essential function within our warehouse that will maintain data and ensure our clients on-time delivery. Interacting and problem-solving with customers and brokers/forwarders regarding shipments in transit and verifying status is a critical function of the role.
Responsibilities
- Data Entry/Maintain Spreadsheets and be able to create formulas
- Ensure that all orders are collected, checked, packaged, and shipped on time
- Ensure that all shipment packing lists match purchase orders and sales orders
- Help manage communications with our shipping carriers to book shipments
- Able to prepare custom paperwork
- Knowledge in Tariff codes/DOC regulations
- Invoicing
- Investigate claims (Shortages etc.)
- Troubleshoot shipping issues when necessary.
- Knowledge of RF scanner
- International Terminology (EX-Works - EAC-USMCA)
- Carry out tasks as assigned by the Warehouse Manager or Customer Service Department
- Communicate and coordinate with drivers while on the facility. This includes but is not limited to providing directions, the check-in process, and obtaining the necessary documentation and information to perform the loading function.
- Assist with administrative functions within the Logistics office & the Admin Building (i.e., answering phones, ordering office supplies, ensuring the office and driver’s areas stay tidy)
- Communicate and work with the loading team to ensure a smooth process.
- Verify loads before the loading process to ensure accuracy
- Using SAP to generate shipping documentation.
- Verify seal numbers and vehicle information on the packaged product and physically place the seal on the vehicle.
- Perform document reviews before shipping and at the end of the day to ensure accuracy.
- Handle incoming materials, complete documentation, and report damages or issues promptly.
- Adhere to Safety and operational site policies and procedure
Requirements
Must have 1-2 years prior clerical experience in warehousing/invoicing
Communication – listening to others is essential to understand their needs, and the ability to explain information clearly ensures everyone is on the same page.
Communicate with internal purchasing, sales, local warehouse as well as remote warehouse locations to keep track of new, pending, and in-progress shipments
Physical Requirements – being fit and having a good stamina are essential for lifting, bending, and standing for prolonged periods of time
Organization – keeping records up to date to make information retrieval quick and efficient
Multi-Tasking – with demands coming in from various sources, must be able to prioritize tasks
Problem Solving – keeping calm and thinking through unanticipated situations enables operations to get back on track
Computer Literate – must be proficient with Microsoft, specifically Excel and have accurate keyboard skills and proven ability to enter data at the required speed
Correct spelling and strong knowledge of grammar, and punctuation
Other tasks and duties as assigned by your manager
