Overview
This position can be located in Glendale, CA or San Diego, CA
Up to 50% travel required between locations
General Summary:
The VP, Administrative and Facilities Management will lead the strategic management of all facilities functions to maintain optimum accommodation, environmental and support service standards within the Credit Union's policies and budgetary constraints. The incumbent will lead the Facilities Management and the provision of services (delivered by third parties where appropriate) and the business itself and take part and/or lead responses in all Business Continuity activities related to natural disaster, power interruption, or other events that impact building services.
The VP, Administrative and Facilities Management is responsible for developing strategies related to the effective delivery of services for all corporate building and branch users including staff, visitors, clients, and tenants maximizing good experiences at key service touchpoints throughout the real estate portfolio. The position is responsible for ensuring that the physical environment is fit for purpose in terms of premises facilities, health & safety, and office accommodation to deliver successful staff performance and excellent member service. In addition, ensuring that the business has the appropriate level of support for the Credit Union's operational requirements.
Responsibilities
Principal Accountabilities (95%):
  • Provide guidance and leadership for the Facilities Management and Physical Security functions.
  • Confirms that credit union properties operate in compliance with Federal and State laws relating to safety, OSHA/Cal-OSHA, ADA, and similar regulations.
  • Manages the purchasing function of the credit union by procuring the required goods and services for the best-possible pricing through successful negotiations with vendors and business partners. Assists SVP-CFO with managing the credit union's capital expenditure budget. Manages vendors and corporate contracts to meet the business needs of the credit union, including annual due diligence of key vendors.
  • Oversee Leasing, Site Development and Tenant Improvements.
  • Prepare and update various disaster recovery procedures, Policy Manuals, etc.
  • Provide management support over the administration of all Credit Union properties either directly or property management firms.
  • Develop methods to reduce maintenance and operating costs through competitive bidding, cost/benefit analysis, where applicable, analyzing need versus desire, and maintaining Business Continuity.
  • Evaluate methods to reduce energy consumption.
  • Monitor service agreements and provide for appropriate bidding of services.
  • Monitor and evaluate Contractor Services as necessary.
  • Prepare budgets.
  • Respond to and implement changes required from corporate initiatives.
  • Review leases to determine areas of responsibility.
  • Provide Project Management and/or support on projects and minor renovations.
  • Conduct site evaluations and prepare reports.
  • Respond to emergencies and situations of an exceptional nature.
  • Respond to environmental or other building issues promptly which may have an impact on employee health, security, or asset preservation.

Secondary Accountabilities (5%):
  • Performs other duties as assigned.

Qualifications
Position Requirement and Qualifications:
Abilities:
  • Excellent verbal and written communication skills.
  • Good mathematical skills.
  • Basic PC computer skills.
  • Ability to prioritize, organize, and delegate assignments.

Knowledge, Education, Certifications, Licenses:
  • Bachelor's degree.
  • Extensive working knowledge of building repairs and maintenance to include internal and external systems that affect the operational functions of the Credit Union's buildings and facilities.
  • Extensive knowledge of safety regulations and rules; and policies relating to facilities and administrative services.
  • Valid driver's license required.
  • Must be able to pass background check to comply with access to military facilities and branch locations.

Experience:
  • 5 - 7 years years of related experience within Facilities Management.

  • Communication - Ability to clearly and accurately communicate instructions or ideas to co-workers in an appropriate manner. Ability to comprehend normal business conversations
  • Manual Dexterity - Ability to use the fingers to make small movements such as typing or picking up general office objects. Movements frequently and regularly are required using the wrists, hands, and/or fingers
  • Visual Abilities - Visual acuity necessary to prepare or inspect documents and products, or operate machinery
  • Physical Strength - May be required to lift up to 10 pounds occasionally
  • Reasoning Ability - Ability to carry out instructions and exhibit problem solving skills
  • Mathematics Ability - Ability to accurately perform basic math functions including addition, subtraction, multiplication and division
  • Language Ability - Exhibit effective written and verbal communication skills. Ability to read and comprehend job related materials efficiently. Ability to prepare written correspondence in a professional manner
