Organization

 As K20's Visitor and Office Support Specialist, the incumbent will serve as the primary point of contact for the center, adept at providing first-line assistance to visitors and callers. Efficiently manages multi-line phones, directs inquiries, and ensures a welcoming environment. Proficient in standard office duties, data entry, and maintaining organized appointment calendars. Skilled in organizing students and facilitating the opening and closing of the center. Effectively handles diverse tasks, from filing and scanning to assisting with special projects. Diligently contributes to the smooth functioning of the office, offering flexibility and support as required.

Essential Job Duties & Functions

  • Serves as primary front desk receptionist.
  • Answers multi-line phone and directs callers to appropriate personnel. 
  • Greets visitors, assists with questions and directions or directs to appropriate personnel for additional assistance.
  • Performs standard office duties, including but not limited to filing, typing, copying, scanning, sorting, and distributing mail.
  • Maintains appointment calendars and keeps track of scheduled events.
  • Assists with general Office Support duties and special projects.
  • Opens the K20 Center (7:00 am) and Closes at the end of the day (4:00 pm).
  • Organizes and schedules student employees to complete standard office duties.
  • Facilitates drinks and snacks for meeting rooms.
  • Performs various duties as needed to successfully fulfill the function of the position.


Job Location

Required Education/Experience: High School Diploma or GED, AND: 

  • 12 months of office, clerical, or receptionist experience

Skills:

  • Working knowledge of Microsoft Office Suite (Word and Outlook)
  • Detail-oriented for accuracy of data and information
  • Ability to communicate verbally and in writing
  • Ability to build rapport with guests, students, faculty and staff
  • General office skills such as multi-line phone, copying, filing, faxing, and distributing mail
  • Excellent customer service skills
  • Ability to handle difficult situations in a calm and professional manner 

Certifications:

  • None

Advertised Physical Requirements:

  • Ability to lift and carry 40 lbs. for a distance of 25 feet. 
  • Communicate effectively and listen.
  • Manual dexterity. 
  • Sit for prolonged periods. 
  • Standard office environment.
  • Use of a computer.
