We are seeking a full-time or part-time, cross-trained Veterinary Assistant and Receptionist to join our team.
Job Description:
The Client Service Representative & Veterinary Assistant at Dale City Animal Hospital plays a critical role in the hospital. As an assistant you will assist the doctors with providing care for the patients, while as a CSR you will provide care for the owners! The Dale City Team strives to be compassionate, understanding, and to provide detailed care for both owners and pets alike.
As a DCAH team member, you will be responsible for client communications in person, over the phone, and written. You will perform clerical duties related to veterinary care and treatments, process invoices and payments, direct incoming phone calls, respond to emails and faxes, and provide miscellaneous support to the doctor and leadership team.
Specific Duties:
- Maintaining a professional, cheerful, and helpful attitude when interacting with clients.
- Answer incoming telephone calls using proper telephone etiquette taking care of routine calls, such as scheduling appointments, medication requests, PAW Plan inquiries, and more.
- Contact clients to confirm appointments, providing clients with any information or instructions they will need before their appointment.
- Greeting clients and patients in the hospital including patient check-ins and outs, taking appointment histories, discussing services due, reviewing invoices, and more.
- Monitor the length of time clients are waiting and appropriately handle situations where there is an extended wait.
- Accurately enter and retrieve medical records, enter charges, and maintain the database.
- Exercise a technical knowledge of parasite prevention, common canine and feline testing, vaccinations, and other products.
- Accurately process cash and charge card payments; address unpaid balances
- Keep public areas clean and odor-free.
- Handle client concerns and complaints. Ask leadership for help if needed, before the situation escalates.
- Assists owners and doctors in Humane Euthanasia services by helping facilitate the appointment including discussing aftercare, taking payment, and handling remains.
- Any other tasks assigned by direct supervisors and managers.
- Assist with patient care, treatment, and restraint for procedures such as exams, vaccines, blood draws, nail trims, etc.
- Aid with routine diagnostic tests (i.e. Running labwork, taking radiographs, preparing and reading cytologies).
- Perform cleaning and maintenance duties to include but not limited to cleaning kennels, laundry, sweeping, mopping, and restocking.
- Willingness to assist in other areas of the hospital as needed.
Job Requirements / Qualifications:
- Minimum of 2 years of Customer Service experience *required*
- Minimum of 2 years of Veterinary Assistant experience (preferred)
- AVImark Practice Management Software Experience (preferred)
- General office practices and telephone techniques
- Knowledge of basic veterinary terminology
- Can demonstrate proper animal restraint
- Communicates in a clear, concise, understandable manner
- Ability to multi-task and prioritize based on urgency
- Professionally maintain composure, positive attitude, and effectiveness under pressure and able to work effectively with co-workers and clients
- Exhibits accountability, identifies problems, proposes solutions, and makes recommendations to leadership

Pay: From $15.00 per hour
