Job Description:
As the Receptionist at Vance County High School, you will serve as the first point of contact for students, parents, staff, and visitors. You will play a critical role in providing excellent customer service, managing administrative tasks, and ensuring the smooth operation of the front office. Below are the key responsibilities associated with this role:
1. Front Desk Operations:
- Greet and welcome visitors in a friendly and professional manner.
- Answer incoming phone calls, take messages, and transfer calls to appropriate staff members.
- Respond to inquiries from students, parents, and staff regarding school procedures, schedules, and general information.
2. Administrative Support:
- Assist with clerical tasks such as typing, filing, copying, and scanning documents.
- Maintain accurate student and staff records, including attendance records and contact information.
- Coordinate the distribution and collection of forms, permissions slips, and other school-related documents.
3. Student and Visitor Management:
- Monitor and manage visitor access to the school, including signing in guests and issuing visitor badges.
- Assist students with check-ins, check-outs, and late arrivals, following established school procedures.
- Maintain confidentiality and security of student and staff information at all times.
4. Communication and Correspondence:
- Communicate important announcements, reminders, and updates to students, parents, and staff via phone, email, or written correspondence.
- Assist with the distribution of mail and packages, ensuring timely delivery to the appropriate recipients.
- Relay messages and information accurately and efficiently between staff members and other stakeholders.
5. Reception Area Maintenance:
- Ensure that the reception area is clean, organized, and welcoming at all times.
- Manage office supplies inventory and place orders as needed to maintain adequate stock levels.
- Coordinate with custodial staff to address maintenance issues or cleanliness concerns in the front office area.
6. Special Projects and Events:
- Assist with the coordination and execution of special events, meetings, or projects as assigned by school administration.
- Provide logistical support for school functions such as parent-teacher conferences, registration days, and orientation events.
- Collaborate with other administrative staff members to ensure seamless coordination of school activities.
Qualifications:
- High school diploma or equivalent (required); associate's or bachelor's degree (preferred).
- Previous experience in a receptionist or administrative support role (preferred).
- Excellent communication and interpersonal skills, with a professional and courteous demeanor.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Proficiency in basic computer skills, including Microsoft Office applications and email correspondence.
- Ability to maintain confidentiality and handle sensitive information with discretion.
