EnDyna is supporting the Environmental Protection Agency (EPA)’s initiative to empower communities nationwide in driving environmental and climate justice projects. The Travel, Logistics and Administration Specialist supports the Community Technical Assistance Team by providing administrative assistance, logistics support and travel coordination. This is a 100% on-site position based in Tysons/McLean, Virginia.
KEY RESPONSIBILITIES:
- Administrative Support:
- Handle general administrative tasks, including email correspondence, phone calls, tracking and document management.
- Assist in preparing reports, presentations, and other documentation as needed.
- Maintain confidentiality and handle sensitive information with discretion.
- Document production- Word, PowerPoint, Excel, and Adobe Acrobat
- Obtain and maintain software licenses.
- Maintain Teams and SharePoint licenses
- Maintain list of invitees for webinars
- Purchase and basic setup of computing hardware. Maintain asset inventory.
- Travel Coordination
- Collect relevant traveler information and coordinate with the designated travel provider.
- Draft necessary documentation for travel approvals.
- Arrange hotel and lodging following government or contract requirements.
- Organize ground transportation (including luggage), rental vehicles, or car and driver services with subcontractors when necessary.
- Enter purchase requisitions and work with subcontractors, when necessary, to provide Meals and Incidentals per diem to those on travel.
- Obtain and submit reimbursable documentation for billing, meeting GSA requirements, to include the monthly reconciliation of Travel and credit Cards.
- Complete associated reports and trackers including travel budgets where necessary.

- Maintain schedules of team members
- Provide logistics support for meetings, remote and local events, and webinars
REQUIRED SKILLS AND QUALIFICATIONS:
- Bachelor’s degree in business or human resources.
- Minimum of 4-5 years of related experience in travel management government contracting including different methods of travel coordination.
- Skilled in communicating effectively, both orally and in writing, as the position requires the ability to guide travelers in set up, travel procedures, post travel invoicing systems for reimbursement, when necessary, as well as regular communication with team.
- Advanced skills in MS Outlook, Word, Excel, PowerPoint, SharePoint.
- Knowledge of regulations, policies and precedents which affect the use of program and related support resources in the associated travel area.
- This role requires attention to detail and quick turnover of information.
- Knowledge and ability to provide contract support.
