Position Responsibilities:
Fiscal Responsibilities
Responsible for preparing and processing all Kansas Tourism invoices, payment vouchers, and deposits in State fiscal system (SMART), in accordance with Division's budget and State fiscal system requirements. Communicates with Division staff as it relates to the Division's fiscal activity. Works closely with Commerce Fiscal Division to assure compliance and efficiency. Prepares the Division's annual fiscal year end closing. Serves as the Division's purchasing manager, this includes but is not limited to, drafting prior authorizations, and creating purchase orders, as required by Department and State purchasing guidelines
Grant Management
Administers all aspects of Kansas Tourism grant programs. Manages and oversees relationships with applicants throughout the entire grant process. Assures compliance with grant guidelines in application, award, and reporting processes. Oversees the evaluation of grant applications and the grant awards. Responsible for working with grantees for all contractual and reporting requirements. Maintains updated records of each grant project. Responsible for working with Agency legal division for grant related contracts and agreements. Initiates grant funding requests after approval. Responsible for progressive and final state or federal reporting. Will occasionally travel to grant applicant locations for site visits, award announcements, or grand openings. Occasionally will make presentations on existing or new grant programs at tourism related industry meetings. Provides regular reports on Division grants for the Director, Dept of Commerce leadership and Tourism associations or boards
Budgetary Responsibilities
Composes and Administers the Division’s budget by providing direction and assisting program managers in identifying program budget expenditures and forecasting program revenue for budget preparation according to instructions from the Director. Maintains updated and accurate budget records by monitoring revenue and expenses and preparing budget reports for Director.
Qualifications:
Minimum Qualifications:
Candidates possessing a degree in a field related to Accounting, Business, Economic Development or Tourism are preferred.
Two years’ experience in one or more of the following fields may be substituted for Education: Accounting, Budget Management, Business, Grant Administration, or any tourism industry related field.
