The Department of Psychiatry and Behavioral Medicine (herein referred to as Psychiatry) exists as a coequal department with full departmental status within the organizational structure of the Brody school of Medicine at East Carolina University. The Department of Psychiatry and Behavioral Medicine provides excellence in education, patient care, research, and service in mental health. The Department ensures that the academic mission of the Brody School of Medicine is met while providing excellent patient care at our primary teaching facility, ECU Health Medical Center and several on-campus and satellite outpatient clinics. These clinics are located in Greenville and across eastern North Carolina.
Job Duties
The TMS assistant will provide care to those patients seen daily for the treatment of depression using Transcranial Magnetic Stimulation ( TMS) therapy. In addition, the TMS & Administrative Support Assistant will require Transcranial Magnetic Stimulation ( TMS) certification through Neurostar. Certification will be coordinated through the Department of Psychiatry and Behavioral Medicine Outpatient clinic. In addition, the TMS & Administrative Support Assistant will monitor the patient during treatment sessions and provide support and encouragement to patient during treatment sessions. The TMS & Administrative Support Assistant will also be expected to document in the Electronic Medical Record ( EHR) and Trakstar. The TMS & Administrative Support Assistance will be responsible for coordinating insurance benefits and appointments. This position may also be responsible for referrals, establishing pay plans, registration and processing Local Management Entity ( LME) paperwork, and other duties as needed by department and supervisor. The TMS & Administrative Support Assistant will be directly supervised by the Patient Access Supervisor with a dual reporting structure to Nurse Manager.
* Working with nursing and patient access services to schedule patients for Transcranial Magnetic Stimulation ( TMS) , SPRAVATO (esketamine) consults or outpatient visits and initiate treatment with provided.
Answer patient/client questions and concerns regarding Transcranial Magnetic Stimulation (TMS) or SPRAVATO; communicate with patient to establish patient is viable candidate for various types of treatment.
Process referrals received for Transcranial Magnetic Stimulation from NeuroStar database as well as from internal and external sources
Contact patients on nursing and/or outpatient clinic schedule for prior screening for such items as COVID, Quality Measures, etc.
Verify insurance benefits to include obtaining prior authorizations and/or approvals from insurance companies and file appeals when applicable.
Review financial obligations with patient to include co-pay, co-insurance, medication cost and payment plans.
Assist with inventory, maintenance of equipment; preparation of educational materials to for patients; assist nursing in maintenance of emergency procedures and education
Prepare and coordinate TMS and SPRAVATO trainings; marketing strategies with providers; assist in organization of various mental health public awareness events
The public contact portion of this position is extremely important to the reputation and financial viability of ECU Health Physicians. Inaccurate documentation will ultimately affect reimbursements. A poor presentation during the face to face or telephone interaction may deter a patient from seeking their health care at ECU Health Physicians.
CLINICAL SUPPORT POSITION - NOT SUBJECT TO STATE HUMAN RESOURCES ACT
The Brody School of Medicine at East Carolina University is affiliated with ECU Health Medical Center, which serves as it's teaching hospital, as well as the flagship hospital for ECU Health.
Employment in this position provides eligibility to participate in the UNC Optional Retirement Program ( ORP) which offers matching employer contributions and employee control of investment choices, along with eligibility to participate in various Voluntary Supplemental Retirement Plans (401k, 403b. 457). This position is not eligible to participate in the NC Teachers' and State Employees' Retirement System ( TSERS). Minimum Education/Experience
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
License or Certification required by statute or regulation

Preferred Experience, Skills, Training/Education
Previous experience in a behavioral health care setting working with adults and children.
 
Experience working with Transcranial Magnetic Stimulation ( TMS) and SPRAVATO preferred.
License or Certification required by the Department
Transcranial Magnetic Simulation ( TMS) certification upon hire OR within six months of hire, coordinated through the Department of Psychiatry and Behavioral Medicine Outpatient clinic.
