Perform secretarial duties, receptionist duties, general office functions and related work as required. Responsible for working with President and CEO to generate correspondence, reports, special projects etc.
Duties/Responsibilities:
Receptionist duties include telephone answering, accepting deliveries, handling visitors, filing (main customer folders, yellow quotes, job order reports, from back), etc. Responsible for telephone system and updating office personnel on changes.
Date stamping and photocopying as they are received.
Ensure copiers, coffee area and conference room have all needed supplies. Responsible to follow up on all monthly vendor reports needed.
Sort mail daily per procedure. Stamp all outgoing mail and, if necessary, take mail to the post office in the evening. Take mail to post office on Friday’s. Order/buy stamps as needed.
Responsible for ordering office supplies.
Required Skills/Abilities:
Be able to communicate with all levels of personnel, internal and external to the company.
Interact with customers and relate information to Management as needed.
Education and Experience:
High School Diploma/GED is required.
Good math aptitude.
Good organizational skills and ability to work independently.
Thorough knowledge of computer operations. Extensive knowledge of Word, Excel and PowerPoint.
Typing requirement: 65 wpm.
2-3 years' experience in an office environment.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
