SUMMARY
Provides general department support with a variety of clerical activities and related tasks. The Human Resources Receptionist will be responsible for welcoming visitors, answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.
It is the primary purpose of CHCCC to provide the highest quality of health care possible to the patient population it serves. Such a level of quality depends ultimately on the staff's desire and ability to work together, individually and as a team. The employee is expected to be professional, punctual, maintain regular attendance, cooperative, organized, enthusiastic at all times.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Additional duties may be assigned with or without prior notice.
Answers phone calls and answers general inquiries, directs callers to the appropriate associate and transfers calls to the associate’s voice mailbox when the associate is unavailable.
Greets and directs visitors to the appropriate personnel.
Takes and retrieves messages for various personnel.
Assists in front office reception coverage as requested.
Receives, sorts, distributes interoffice and other mail. Prepares shipping labels (certified mail, FedEx, etc.).
Assists in the ordering, receiving, stocking, and distribution of office supplies.
Assists with other related clerical duties such as photocopying, faxing, filing, and collating.
Responsible for food orders and pickups for meetings, orientations, and trainings.
Stocks snacks by taking trips to the grocery store.
Schedules and prepares conference rooms for meetings as requested.
Plans and coordinates department events.
Maintains personnel files (filing, archiving, and copies).
Prepares department meeting materials and records meeting minutes.
Supports the Human Resources Team by performing basic HR clerical duties including data entry, ad hoc reports, ordering marketing supplies, and updating the CHCCC Portal and the department’s shared drive.
Responsible for maintaining CPR reports, tracking annual physicals, and sending email reminders to employees.
Support benefits in any administrative tasks, including creating and distributing benefit packages to eligible team members, ordering incentive items, compiling and distributing birthday and anniversary letters.
Responds to identification badge replacement inquiries and apparel orders.
Prepares and assists with new hire orientation.
Conducts new hire orientation site tours in the corporate building.
Maintains records of all staff training materials and updates personnel files.
Coordinates externs/volunteers/residents.
Assists with employment verifications as requested.
Handles vacation buy back requests and ensures request forms are completed before sending to Finance.
Performs other duties as assigned.
Maintains and adheres to HIPAA, employee confidentiality, and privileged communications (patient, employee, and corporation).

EDUCATION and/or EXPERIENCE
High school diploma; and 1 year related experience and/or training; or equivalent combination of education and experience.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply sound judgment in understanding to carry out instructions in written or oral form. Ability to make appropriate job decisions following standard office policies and past precedents.
COMPUTER SKILLS
Experience with word processing, spreadsheets, email, and keyboarding required. Microsoft Office skills required. Google Suite skills preferred.
CERTIFICATES, LICENSES, REGISTRATIONS
Possession of current, valid, unrestricted California Driver's License (Class C) required.
OTHER REQUIREMENTS
Required to pass a criminal history background check and drug screen upon hire.
Annual health examination; annual Tuberculosis skin test clearance or chest x-ray; proof of immunity to MMR, Varicella, and Hepatitis B; proof of Tdap vaccine; during current flu season, must provide proof of influenza vaccine or a signed declination form. If declined, a flu mask is mandatory during flu season.

This is largely a sedentary role; however, filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
WORK ENVIRONMENT
Moderate noise level associated with open office work environment. Driving will be required for this position.
