Position Description:
OVERVIEWThe purpose of this document is to prepare an individual to aid in or take over the daily tasks of the Rebuild Department Office Coordinator.
Daily Tasks- Begin every day by checking emails for any items that need immediate attention. Reply to any customers, and or Project Managers as needed.
- Monitoring Albi/Job Board
To discover if any new jobs have been added, so you can begin processing the files. Entering data in google sheets/follow-up board.
Coordinate crews with PM's assistance/direction. (Crew work schedule)
- Assigning projects to PMs.
- Answering phones/and following up with new customers.
- Helping PMs with documentation
- Assisting in permit expedition
- Audit financials for In Production Files making sure jobs are billed up to date.
- Responsible for providing assistance to the entire department
- Be a team player.
- Order supplies.
- Prepare and participate in rebuild meetings
- Follow up with jobs that have not sold and lend your experience and insight to the customer to try and get them to move forward with the project. (MUST BE WEEKLY)
- Speak with the Supervisor about any issues or concerns you are having.
- Review quarterly closing numbers and have a meeting with Department Manager/General Manager/Owner.
- This is the opportunity to be creating and pitch new ideas that can help daily production
- Request training with the Manager or ownership if needed.
- Employee review.
- Review all four quarters from the last year and come up with goals for next year.
Work on increasing closing numbers by 2-3% per quarter.
Increase job average dollar amount by 2 percent per quarter."
