FabKids is currently looking for a Part-Time Team Coordinator
How Do You Fit In?
As the Team Coordinator, you take on a dynamic hybrid role in which you will manage general support and coordination of the FabKids office and team, and well as executive support to key executives. In this role, you will be expected to be present in the downtown San Francisco office 3 days a week, Tuesday-Thursday, with the ability to work additional hours as needed (if workable). Our ideal candidate is a spectacular do-er who is resourceful and proactive and who enjoys wearing many hats, all focused on delivering comprehensive support to a fast-paced startup team.
In the general office and team support aspect of this role, you will manage and coordinate the office end to end, from office supplies to meals to coordinating outside vendors. You will support team members with various projects including, but not limited to, sample management and data entry. The FabKids Team Coordinator will also help plan team events, from concept to execution, to bring the team together and foster community.
In this role's executive support aspect, you will perform a wide array of administrative functions requiring keen organizational skills, initiative, confidentiality, and sound decision-making. This role is accountable for many clerical functions, from coordinating and managing calendars, attending, and documenting meetings, and managing travel arrangements.
This position is part-time and will report to the Co-CEO, JustFab and will be based in our San Francisco (FabKids) office.
What you will do:
Office/Team Support:
- Serves as Receptionist and Office Greeter - delivering the first impression for guests to the FabKids brand.
- Manages all incoming and outgoing mail and postage/shipping needs.
- Assists with meeting set-up and clean-up as needed, ensuring all technology is working and up to date
- Responsible for weekly coordination and ordering of team lunch, office supplies, office beverages, and snacks for the office. Manages external support with outside services (ie cleaning) and building owner as needed. Ensures all employees have the technology and devices they need to effectively perform in their roles.
- Gains a deep understanding of team members and their preferences to drive toward employee happiness and satisfaction. Coordinate recognition rewards, birthdays etc.
- Plans and organizes fun and engaging team gatherings, both in and around SF and virtual/online to include remote employees.
- Partners with key counterparts in the LA office to coordinate company wide initiatives, from meetings to ERGs.
- Manages team budgets and finds creative solutions to ensure we are at or below targets.
- Maintains the aesthetics of the office - keeping with and reinforcing our commitment to superior brand image guidelines. These duties include but are not limited to cleanliness of general office areas, office supply areas, preparing/resetting meeting spaces/conference rooms daily, and maintaining our reception and lobby areas.
- Regular sample management- supporting the photography team throughout the creative process.
- Supports Marketing function with Influencer strategy, including order form set up and outreach.
- Provides ad hoc support to team members / projects as needed
Executive Support:
- Completes a broad variety of administrative tasks for key executives including managing extremely active calendars of appointments, completing expense reports, and preparing correspondence that is often confidential.
- Assisting in the preparation of PowerPoint/Google Slide decks and attending select meetings as a note-taker
- Arranges complex and detailed travel plans, itineraries, and agendas; anticipating every detail that might be helpful.
- Plans, coordinates, and ensures executives' schedules are followed and respected. Acts as the "gatekeeper" and "gateway" protecting their time, conveying a solution-oriented attitude to those looking for time with them.
- Has a sense for the issues taking place in the environment and keeps the Co-CEO updated.
- Manages a variety of special projects for the Co-CEO.
- Prioritizes conflicting needs with great judgment, handles matters expeditiously, proactively, and follows-through and follows-up on projects to successful completion, often with deadline pressures.
What you can bring:
- 1-2 years of Office Management/Executive Assistant experience
- Ability to open/close San Francisco office 3 days a week
- Strong technical abilities: MS Office Suite - Outlook, Word, Excel, and PowerPoint.
- Avid problem solver - able to create win-win situations using limited resources
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Strong written and verbal communication skills
- Demonstrated emotional maturity and impeccable interpersonal acumen - able to interface at ease with executive team, employees, and visitors at all levels diplomatically
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion
- Forward looking thinker, who actively seeks opportunities and proposes thoughtful solutions
The hourly range for this position is from $32.00-38.00. The range provided includes the base salary that JF expects to pay for the role. Offered base salary will be dependent on factors including the scope and complexity of the role, candidate's related work experience, subject matter expertise and work location.
