Medical Assistant / Surgery Coordinator
Job Description and Responsibilities
Job Description: Staff liaison for Oculoplastics Surgical Private Practice, managing medical and cosmetic clinical patients from initial appointment onwards. Seeking a team member with a great attitude and excellent people skills.
GENERAL RESPONSIBILITIES
● Knowledge of services rendered & medical terminology.
● Explain office policies to patients as needed.
● Follow HIPAA & OSHA regulations & maintain strictest confidentiality.
● Assist with obtaining Referrals for patient appointments.
● Verify Eligibility and Benefits for all patient appointments.
● Maintain a clean and orderly work area.
DAILY RESPONSIBILITIES
● Coordinate surgical procedures and appointments for patients.
● Coordinate and schedule with surgery centers, anesthesiologists, and pathologists as needed.
● Track all surgery cases from the day of physician’s recommendation for surgery in the Surgery
Tracker.
● Manage patient prescription submissions and refill requests.
● Obtain necessary medical records and documentation for surgical procedures.
● Prepare and provide pre-op packets to surgery patients via docusign or in-person.
● Advise and counsel patients regarding pre-op requirements including lab work and fasting, etc.
● Answer calls / return messages and provide feedback to patients/ physicians/ pharmacies promptly.
● Follow-up via phone with unscheduled patients regularly until scheduled.
● Prepare and provide patient surgical charts to Drs. prior to the day of surgery.
● Assist office staff with any work that can be performed as time permits.
MEDICAL ASSISTING RESPONSIBILITIES
● Prepare exam / treatment rooms for all procedures.
● Assist physician with any in-office medical procedures.
● Assist physician with any in-office cosmetic procedures.
● Send pathology specimens to labs; follow up with labs, patients, and physicians accordingly.
● Assist with rooming clinic patients, prepare EMR for exams, and document all information in the patient's chart.
● Document patient medical history and current medicine list in EMR as needed.
● Keep exam rooms stocked with adequate medical supplies, maintain instruments, prepare sterilization as required.
● Assist with Medical Supply ordering.
● Assist with CT / MRI / Pathology requisition and documentation.
REQUIREMENTS
● Previous experience in a healthcare setting, preferably in surgical coordination or a related role
● Knowledge of medical terminology and procedures.
● Strong organizational skills with the ability to multitask and prioritize tasks effectively
● Excellent communication skills, both verbal and written.
● Proficient in using Mac-based computer systems and software applications for scheduling and record keeping.
● Ability to work in a fast-paced environment and handle stressful situations with professionalism and empathy.
Job Type: Full-time
Pay: From $15.00 per hour
Expected hours: 40 per week
