Surgery Scheduler - St. Elizabeth Boardman Hospital (Part Time)

Surgery registration/scheduling serves as one of the first points of contact for doctors and their office staff, patients and visitors. Functions of the registration position :include registering patients, collecting fees such as co-pays, and verifying insurance and personal information.
The Surgery Scheduler will be responsible for coordinating and scheduling appointments for elective procedures done in Surgery, Endoscopy, Pre-admission testing and PACO. They are responsible for data entry into the computer system, including charges.

EDUCATION:
- High school graduate
EXPERIENCE:
- Previous unit secretary or office manager experience with knowledge of medical surgical tenninology is required.
- Previous HSM/PHS/Star application knowledge preferred
- Previous basic computer knowledge required

PRINCIPAL JOB ACCOUNTABILITIES:
Scheduling Role:
Schedules/ Cancels/Reschedules all elective surgical/ endoscopy/ PACU/ PAT procedures.
Obtains and enters necessary booking information from person requesting surgical time.
Is aware of instrument and equipment limitations of department.
Allows adequate time for each procedure according to physician's request.
Leaves enough time between cases to allow for room turnover.
Attempts to schedule similar types of cases in the same room to increase efficiency.
Communicates special equipment, instruments, and supf y requests to appropriate person

Communicates requests for x-ray to X-ray Tech and X-ray Department.
Reviews and updates surgery schedule daily, for all surgical procedures.
Refers conflicts to Manager or Director.
j. Follows established guidelines for scheduling the number ofrooms on a given day.
2.Prepares and distributes surgery schedule.
Verifies all patient's names, procedures, surgeons, and times with Registration/Admitting.
Obtains all missing patient information from physician's offices, as well as, equipment needs, special requests, and positioning.
Attempts to minimize downtime of rooms between cases.
Prepares final version of schedule for following date.
Distributes schedule to appropriate departments.
Communicates any changes affecting the next day's schedule to appropriate person and anesthesia department.
Notifies appropriate Team Leader/OR desk of any special case requests
Obtains and faxes admission reports after cases are scheduled to PAT, Registration and Pre Certification.
3.Maintains patient records from previous day.
Ensures all records are accounted for and cross checks record for accurate and complete data entry
Checks all charges and supply adjustments
Registration Role:
- Rolls over numbers correctly
- Runs off add on inpatient and outpatient packets correctly
- Greets patient and verifies information, and insurance, checks patient into the system
- Collects indicated co-pays, enters into revenue computer program
- Scans consents and insurance cards
- Scans anesthesia record after patient is discharged
- Obtains registration slips from scheduling and files appropriately
- Reviews and updates schedule for changes
Pre-AdJission Role:
- Files scheduling slips properly
- Assembles and stickers charts correctly
- Schedules PAT patient visits
- Files forms from physician offices
- Directs families to correct areas within the hospital
- Answers phones and directs calls as needed.

Enters block time 3 months (at least) in advance.
Deletes unused block time one week in advance for physician vacation, etc.
