Minimum qualifications:
- High school diploma or equivalent required; additional education or training in healthcare administration or related field preferred.
- Ability to multitask and work efficiently in a fast-paced environment.
- Proficiency in computer applications, including electronic medical records (EMR) systems and scheduling software.
- Prior experience in medical scheduling, preferably in ophthalmology or a surgical setting, is highly desirable.
- Excellent communication and interpersonal skills, with the ability to interact effectively with patients, healthcare professionals, and administrative staff.
- Proficiency in medical terminology and basic understanding of ophthalmic procedures and surgeries.
Knowledge, Skills, and Abilities Required:
- Ability to provide excellent and compassionate patient care
- Must have very strong organization and communication skills (both verbal and written)
- Ability to multitask in a fast-paced environment and prioritize tasks based on importance
- Attention to detail and above average accuracy in all daily tasks
- Must have basic computer skills, including familiarity with Microsoft Office applications such as Word, Excel, OneDrive, and Outlook
- Self-motivated with the ability to work well as a team player in very close proximity to co-workers
Duties and Responsibilities:
- Schedule Surgical Procedures: Coordinate with patients, ophthalmologists, and surgical staff to schedule surgeries accurately and efficiently. Ensure that all necessary pre-operative tests and consultations are completed prior to surgery.
- Communicate with Patients: Serve as the main point of contact for patients scheduled for ophthalmic surgeries. Provide clear instructions regarding pre-operative preparations, including fasting requirements, medication instructions, and arrival times.
- Obtain Necessary Authorizations: Work with insurance providers and healthcare facilities to obtain pre-authorization for surgical procedures. Verify patient insurance coverage and communicate any financial obligations to patients.
- Maintain Patient Records: Keep detailed and accurate records of surgical schedules, patient information, and insurance authorizations. Ensure compliance with patient privacy regulations (HIPAA) at all times.
- Coordinate with Surgical Team: Collaborate with ophthalmologists, nurses, anesthesiologists, and other healthcare professionals to coordinate surgical schedules and ensure optimal use of operating room resources.
- Address Patient Concerns: Provide support and assistance to patients, addressing any questions or concerns they may have regarding their surgical procedures or scheduling.
- Monitor Surgical Schedule: Anticipate and resolve scheduling conflicts or issues that may arise, ensuring minimal disruptions to the surgical schedule.
- Continuously Improve Processes: Identify opportunities for process improvements to enhance the efficiency and effectiveness of the surgical scheduling process. Implement changes as needed in collaboration with the surgical team and administrative staff.
- Making sure all surgery charts are prepped accurately and completely.
- Ordering specialty lenses as needed for your assigned doctors and being sure they are here in time for surgery.
- Performs other duties that may be assigned.
