- Experience: Two (2) years experience in materials management function preferred. Must possess a valid Illinois Class "D" driver's license, for (3) years prior to date of application. Must have a good driving record subject to State driver motor vehicle verification to comply with Hospital insurance requirements. Within three (3) years of date of application or promotion, must not have been convicted of: a). driving under the influence of alcohol or drugs, b). reckless driving, c). leaving the scene of an accident involving death or personal injury, d). drag racing, e). manslaughter, g). reckless conduct from use of a motor vehicle or other serious driving infraction conviction.
- Skills: Well developed verbal and written communication and customer skills, basic knowledge of Microsoft office, including but not limited to Excel, Word and Outlook and use of Materials Management Information System (Lawson) and the associated handheld devices. Must be able to solve problems and handle responsibilities under pressure willing to learn, be dependable, reliable, emotionally stable, pay attention to detail, and able to perform functions outlined in physical requirements. Seeks assistance of supervising personnel as necessary. Good communications and interpersonal skills, ability to read, write, and speak pleasantly and effectively. Possess honesty, integrity, and trustworthy qualities. Maintains NorthShore Service Values. Ability to organize and maintain records, works independently, and adjusts to change. Basic computer skills, customer service skills, and telephone communication skills.
Job Summary
- The purpose of this job is to be responsible and accountable for ordering, maintaining, receiving, and distributing supplies and materials to various hospital departments. Duties include processing all electronically handled purchase orders in the Materials Management Information System (Lawson). Stocks patient care products according to established protocols. Facilities orders, receipts, processing and distribution of all inventory, specialty and non-stock (stockless) items to the assigned departments. All duties as assigned.
What you will do:
Knowledge and application of NorthShore policies and procedures that apply to job and area of responsibility. Has understanding of interdepartmental policies and procedures for Material Services
Maintain appropriate supply levels per established PARS and an organized work area
- Count physical supply quantities using the designated department PARS and Handhelds on a daily basis and reorder accordingly.
- Receive supply shipments and verify against Materials Management Information System (Lawson), report any discrepancies to Manager or Director.
- Check assigned areas for expiration and remove supplies as needed.
- Work with supporting inventory personnel to get supplies on a timely, basis.
- Work with Purchasing to add or delete inventory in accordance to Purchasing procedures
- Responsible for identifying slow moving non-moving and making recommendations to Materials Management
- Work in conjunction with management to eliminate dead inventory in assigned departments
- Responsible for daily charges to assigned departments
- Reporting any credits and or adjustments to Manager or Director
- Responsible for the cleanliness and organization of supply shelves including but not limited to re-labeling and dusting of shelves
- Assist with the return of supplies to vendors in accordance with Purchasing Procedures
- Breakdown of boxes and dispose of them properly
- Deliver packages, documents, shipment, etc.
- Assist in other duties as assigned
Rotate through and perform all supply distribution functions and associated duties
- Demonstrate an ability to use "FIFO" (First IN/First Out) methods at all times
- Remove all expired products from designated floors on a consistent basis
- Follow-up with Purchasing on outstanding orders including backorders, error in shipments, averages, returns, product replacements, product stubs and recalls.
- Ensure that online inventory is reflective of physical inventory and against packing slips
- Keep accurate records
- Maintain file of daily transactions
- Receive, inspect, verify or reject supplies delivered on a daily basis
- Maintain complete and accurate records of supplies that are delivered on a daily basis. Utilize good storage techniques to ensure that supplies are placed in proper location, integrity of designated inventory system is maintained, stock is checked for expiration dates and for FIFO system.
- Assist in maintaining inventory levels on shelves to satisfy customer needs, by avoiding excessive investment in inventory.
- Notify department Manager or Director immediately, if inventory levels reach the reorder point or critical low level
- Utilize stock status reports, catalogs, master files., and other records pertaining to inventory control.
Assist in an intra and interdepartmental quality assurance program
- Assess supply utilization and recommend change to management
- Maintain a system for follow-up by management
