Supervisor Administrative Support - MH&DD/IDD

The City of Alexandria is located in Northern Virginia and is bordered by the District of Columbia (Potomac River), Arlington and Fairfax counties. An Overview

The Supervisory Administrative Support position oversees the day-to-day administrative and building operations for ID/DD & MH Residential Group Homes. Work involves the ability to manage frequently changing priorities and the exercise of independent judgment under the general supervision of the Administrative Operations Officer, Center for Adult Services.

What You Should Bring

The ideal candidate should have good knowledge of office terminology, procedures, and equipment, and of basic arithmetic and English; some knowledge of elementary bookkeeping; ability to orally communicate courteously and effectively with a diverse public; the ability to understand and follow complex oral and written directions, ability to maintain complex clerical records and prepare reports from such records, ability to make minor decisions in accordance with laws, ordinances, regulations, and established policies. Some knowledge of person-centered practices, universal language, and positive behavioral supports. Ability to establish and maintain effective working relationships with clients, their families, and co-workers. Ability to communicate clearly and effectively both orally and in writing. Good understanding of the nature of mental illness, intellectual/developmental disabilities, developmental delay, and substance use disorders, demonstrate empathy for the challenges of people with mental illness, intellectual/developmental disabilities, or substance use disorders.

The Opportunity

  • Serves as Office Manager, evaluating the effectiveness of office systems and procedures, developing, and implementing approved methods, including, but not limited to, approving vendor's invoices and ordering of MH & DD/IDD Residential supplies.
  • Prepares personnel requisition/hiring packages, schedules interviews, and assists with the interview process for Residential staff.
  • Enters all trainings for MH & DD/IDD Residential staff in TPS.
  • Maintains copies of forms for staff.
  • Work with HR to review and maintain MH & DD/IDD Residential staff personnel records.
  • Maintain vehicle logs and inspections of MH & DD/IDD Residential vans and cars.
  • Established and maintains effective working relations with City Fire Marshall Inspectors,
  • Serve as an MH & DD/IDD Residential representative on DCHS Safety Committee
  • Manage MH & DD/IDD Residential Petty Cash.
  • Collect, manage, and monitor MH & DD/IDD Residential client's rent payments.
  • Manages MH & DD/IDD Residential Quality and Safety Inspections/submitting requests to maintenance based on findings/tracking follow-up on completed work.
  • Responsible for mailing and following up on MH & DD/IDD Residential information to guardians (anything that needs signatures that Quarterlies, ISPs, surveys -developing a tracking system for all), send to appropriate people once received back i.e. send to medical records to be scanned into client record, etc.
  • Reviews and manages bed assignments for MH & DD/IDD Residential program using EHR system (Credible).
  • Utilize EHR (Credible) to review submission dates of clinical documentation for MH & DD/IDD Residential programs (i.e. treatment plans, quarterlies, progress notes, WAMS, and ISARS).
  • Assist MH & DD/IDD Residential supervisors with uploading clinical documentation in a timely manner (i.e., WAMS, ISARS).
  • Point of contact during MH & DD/IDD Residential programs audits, work with QA during DBHDS and external reviews audits, i.e. assist with reviewing, gathering, and possibly uploading documentation.
  • Performs any related duties as assigned.

About the Department

The Center for Adult Services (CAS) provides programs and services in Aging, Adult Protective Services, Clinical & Emergency Services, and Community and Residential Support Services for seniors and for persons with mental illness, intellectual disabilities, and substance use disorders. CAS provides compassionate and effective person-centered services based on best practices. Our teams support self-determination, safety, and recovery for Alexandria residents affected by abuse, neglect, mental illness, intellectual disabilities, and substance abuse disorders.

Some clerical experience and completion of high-school-level courses in bookkeeping, arithmetic, and English, or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

Two-year college degree: Five years of responsible clerical experience or technical work, including experience in office management activities that involved planning and laying out work for others. At least one year of experience in a capacity working around persons with mental disabilities. Must have a valid driver's license.

This position requires the successful completion of pre-employment background checks including but not limited to: Federal/FBI Records Check. VA State Child Abuse/Neglect Registry, Medicare/Medicaid Fraud Database; and education/certifications.

Schedule:

Monday - Friday, 8: 30a.m - 5 p.m.
