Studio Coordinator – Human Resources- Full time – Contract
This position requires working from our El Segundo CA, office minimum 3 days every week.
Overview:
Mattel Television, Studio Operations is seeking a tech savvy, detail-oriented and organized Studio Coordinator who is passionate about Human Resources, entertainment and possess excellent communication skills to join our team. The Studio Coordinator will be responsible for facilitating the smooth operation of our studio by managing various administrative tasks, interfacing with agency partners, providing IT-related support, ensuring eJective communication, maintaining documentation, and assisting with project management and events coordination.
Position Objective:
Responsibilities Include:
AgencyPartner Interface
- Interface with agency partners for the onboarding and oJboarding of independent contractors, production-based employees, freelancers, and vendors.
- Manage work orders in multiple portals such as Fieldglass and People2.0
Administrative Support
- Process all hiring and amendment requests, update relevant trackers and charts.
- Welcome new hires, provide campus tours, and deliver training on internal processes.
- Handle vendor set-up and independent contractor clearance processes. -
Contract Management
- Ensure all contract attachments and requirements are provided.
- Draft contracts for Legal, and handle signature processes through AdobeSign.
IT Support
- Evaluate and deploy technical solutions selected by leadership.
- Train production and other teams on Workfront.
- Handle IT-related ticket escalations and software requests.
Communication
- Report and escalate issues at Daily Stand-up Meetings.
- Monitor team email, maintain communication channels, and coordinate team meetings.
Documentation & Events Coordination
- Organize and update data in relevant software and notebooks.
- Consolidate and maintain all relevant production policies / procedures in OneNote.
- Edit/create/update forms, distribution lists, and SOPs.
- Maintain Lucidcharts of Studio Operations’ processes.
- Coordinate events such as wrap parties and greenlight projects.
- Conduct ad hoc research and implement new products or procedures.
Skills & Qualifications:
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Officce Suite and familiarity with Adobe Workfront.
- Must be able to become a proficient superuser of all software used (Workfront,
- Lucidchart, Wipster, Microsoft Teams, Shotgrid and SyncSketch) by Mattel TV and be able to take over support from existing team members.
- Bachelor’s degree in Human Resources, or related field preferred.
- 2+ years of related experience supporting and coordinating the administrative needs of a television studio in a business environment utilizing human resource skills.
- Knowledge/experience of media production preferred.
- Must be extremely organized, a fast learner, professional, eJicient, detailed oriented, self-sufficient, a team player, passionate about entertainment, and able to thrive and multi-task in a fast-paced, stressful environment.
- Proficiency with Mac and PC.
- Tech savvy and Proficient with Microsoft suite (Teams, Word, Excel etc., required.
- Conflict resolution with capacity for suggesting well-reasoned solutions is essential.
- Should enjoy working in a creative, dynamic and fast paced environment.
Job Types: Full-time, Contract
