Student Services Assistant IV-Information Science
About the Department of Information Science
The Department of Information Science examines the interactions between people and technology, how technology is shaping individual lives and social groups, and how the ways that people use new technology can shape new developments. Information Science currently has around 700 students enrolled among the three colleges for our undergraduate program and approximately 200 students in the graduate programs, split between the professional master's (MPS) and PhD programs
The Opportunity
The Student Services Assistant IV (SSA) is a key member of the Information Science MPS/Ph.D. programs administrative team. As the first point of contact for prospective and current students, the SSA represents the public face to these populations. This role involves coordinating various aspects of graduate program administration, from recruitment and admissions to event planning and record maintenance.
Key Responsibilities:
  • Graduate Program Support: Coordinate graduate field recruitment and field membership processes. Manage fellowship nominations and admissions processing. Serve as a resource for prospective and current students, addressing inquiries and providing information. Coordinate with the CIS Bowers Communications office to make sure our PhD and MPS website is up to date.
  • Processing Graduate Appointments: Working with the Associate Director and the CIS Sponsored Research Administration Center (SRAC) to gather funding plans for all Ithaca based PhD students, processing appointments in both Workday and PeopleSoft, maintaining the in-house database CISIS, and maintaining the Graduate School's funding database for all PhD students. Working closely with the Student Service team on the Tech campus to make sure funding is processed for the PhD students located on the Tech campus. Reconciling student appointments and troubleshooting issues with both the HR Payroll team and the SRAC office.
  • Event Planning: Plan and execute program events, ensuring successful coordination and attendance. Collaborate with colleagues to support special events that may occur outside regular business hours.
  • Data Management: Maintain accurate and up-to-date student data/records across two campuses (Ithaca/Cornell Tech) in coordination with registrar staff. Ensure compliance with data protection and privacy regulations.
  • Collaboration: Regularly coordinate with the Graduate School Admissions and Registrar teams to facilitate seamless processes.

This is a part-time (20 hours/week) endowed position that is based in Ithaca, NY. This position is eligible for a hybrid work arrangement. The details of the hybrid arrangement will be discussed in advance and are subject to change at any time. Work hours are flexible.
What We Need
We are looking for a team member who takes initiative, is collaborative, and organized. Additionally, you will:
  • Hold an Associate's degree and 2 to 4 years relevant experience or equivalent combination.
  • Have the aptitude to work effectively in an environment with frequent interruptions.
  • Enjoy working with students.
  • Utilize strong organizational skills, follow-up, and track decision-making.
  • Possess a high degree of attention to detail, confidentiality, demonstrated problem solving skills, communication (verbal and written), and interpersonal skills.
  • Work independently and within a team environment.
  • Work courteously and effectively with students, faculty, staff, and visitors in a highly service-oriented office.
  • Read and comprehend policies, guidelines, and protocols.
  • Utilize a variety of business or technical programs to complete information management or production tasks (Workday, CollegeNet, Microsoft suite, spreadsheets, databases, & web site maintenance).
  • Demonstrate ability in using sound judgment.

  • Bachelor's degree.
  • Advanced knowledge of Cornell systems and procurement policies strongly preferred.
  • Working knowledge FileMaker Pro, PeopleSoft, and Workday.
  • Experience in higher education setting.
  • Previous experience working with Cornell's Graduate School.
  • Previous experience working with faculty and students in an academic environment also preferred.
