Performs a variety of highly technical tasks related to the areas of Registration and Financial Aid per assigned level; per assigned level; incorporates a number of highly specialized functions of which incumbents may perform all or some of the essential functions depending on the operational need of the District; handles day-to-day highly technical and specialized functions in addition to general clerical work related to the assignment; assists students, staff, and community members at the front counter, over the phone, and through written and electronic correspondence; overlooks scholarship applications; uploads documents for students; and may provide guidance to coworkers.
Responsibilities- Assists students that come in; performs a variety of complex duties in support of Student Services; handles multiple priorities and tasks simultaneously; and makes decisions independently according to established guidelines.
- Responds to questions and provides information to students and the public; provides back-up with regard to email, phone calls and voicemails that are received in the Enrollment Services departments.
- Provides training and resources for Enrollment Services areas to Central Help Desk student employees.
- Registers students in person and through email; provides guidance for registration through the Student Portal.
- Assists with transcript requests and processing; collects requests, prints transcript forms, verifies payments and holds, and mails out orders; assists with reviewing error reposts and reviews/submits degree verifications; and responds to requests if holds exist.
- In-puts and maintains transferable credits and test scores in each individual student’s account.
- Processes District class schedules by reviewing faculty submissions for accuracy, assigning section codes, inputting information into course files, and generating a copy ready schedule.
- Prepares all documents for the State FTSE audit visits.
- Processes international student application forms; evaluates visa documentation and transcripts; and issues 1-20 forms.
- Regularly monitors enrollment verification error reports and makes necessary corrections including Student Status Confirmation reports for the NSLDS system.
- Assists with the Dual Enrollment Program verification and registration process.
- Performs a full-range of clerical duties in support of the Financial Aid Office including receiving incoming telephone calls and managing Department email account; opens and distributes office mail.
- Collects, reviews and records receipt of student documents needed for verification process and working with students regarding required documents for verification, availability of awards.
- Processes and mails/emails award letters.
- Downloads scholarship applications from DocuSign account, logs into student information System-Anthology Student, reviews for student eligibility, and matches to Foundation or institutional scholarship programs.
- Completes and sends DES Verification forms.
- Prepares FA Appeal packets for the Financial Aid Appeals Committee and notifies students via email of results.
- Processes external scholarship and private loan checks to ensure student continues to meet eligibility and ensures no over-award situations exist.
- Uploads documents as applicable.
- Manages federal work study students; determines eligibility; and updates earnings each pay period.
- Performs other duties commensurate with functions and level of position or as assigned.
EDUCATION: High school.
EXPERIENCE: Three (3) years of experience performing financial aid or related duties.
SPECIAL POSITION CONDITIONS: None.
Background Verification: As a condition of employment, all candidates accepting an offer of employment for a full-time, part- time, temporary, student worker, or volunteer position, will be required to undergo a Background Verification. Employment with Central Arizona College is contingent upon the successful completion of the background verification. The level the background verification for this position is: Standard level.
PHYSICAL REQUIREMENTS:
The work is sedentary work. The employee is occasionally required to exert up to 10 pounds of force to move objects. Additionally, the following physical abilities are required: hearing voices and distinguishing among sounds, mental acuity, repetitive motion, speaking, talking, and visual acuity in data. Duties performed may cause light fatigue of eyes, fingers, or other faculties as a result of repetitive motion.
