Nature of Work:

Student Affairs is seeking a Program Manager to assist in the primary responsibilities of Student Affairs and Career Development and Immersive Learning Operations, Project Management, Data Collection and Scheduling for Student Affairs. This position will develop and oversee data collection for all of Student Affairs offices, including creating annual reports for the entire Student Affairs team. Serves as project manager for the data collection process. 

Manage all administrative projects for the Associate Vice Chancellor of Student Affairs and Assistant Vice Chancellor of Career Development and Immersive Learning (CDIL- on an as-needed basis). Oversee and coordinate large projects for the Student Affairs team, including managing the co-curricular experience being built by the larger Student Affairs team, collection of performance management forms, and end of year reports.

Student Affairs encompasses many student-serving offices at CU Denver, including, the Career Center and Experiential Learning Center, housed in LynxConnect, the centralized space on campus for connecting students to opportunities and partners that expand on the classroom education by offering life skills development, career competencies and experiential learning opportunities.

This position reports directly to the Associate Vice Chancellor Student Affairs, with a dotted line to the Assistant Vice Chancellor for Career Development and Immersive Learning, serves as a member of the leadership team, and will interact on a consistent and collaborative basis with Student Affairs staff, other central services units including Budget and Finance, Human Resources, Student Employment Office, Procurement Service Center, Risk & Compliance, University Counsel, Controller, and Grants & Contracts, and school and college administrators, among others.

Position Emphasis:

Calendaring/Events (10%)

  • Identify, schedule, and organize unit meetings and team-building events.
  • Assist with targeted calendar and management as well as purchasing needs for Associate Vice Chancellor and leadership team.

Business Operations Support (50%)

  • Work with Assoc. Vice Chancellor and partnering institutional units/offices to develop standard operating procedures for HR, Finance, Procurement and Travel requests within the Student Affairs unit.
  • Sit on the Student Affairs leadership team and develop new practices and processes to ensure effective operations and unit efficiencies.
  • Provide guidance and serve as a unit representative at finance and HR policies and procedure meetings. Communicate directly to appointing authority about HR, Finance, Procurement updates.
  • Manage, in partnership with other staff, the development, communication, and training of internal office policies and procedures to ensure the Student Affairs unit establishes and continues efficient operations and institutional compliance initiatives.

Career Development and Immersive Learning Support (25%)

  • Collects data on student usage, student surveys, and other projects as assigned.
  • Make recommendations on finances, including resource allocations, and adjustments associated with operations accounts, work-study projections and payroll registers
  • Manage all current external vendor relationships, including procurement, and contract renewal
  • Create annual reports on larger CDIL initiatives (Corporate Partners Program, Unpaid Internship Scholarship, Equity Grant, annual reports to schools and colleges)

HR Support (10%)

  • Serve as key contact for staff recruitment initiatives/processes. Providing necessary analyses to support recruitment and retention of professional and student staff. This includes scheduling, managing Zoom, email communications with candidates and campus constituents.
  • Provide support for directors during employee transitions, including managing resignation letters, promotions, and providing support filling vacancies, and new employee on-boarding.
  • Manage timesheet and payroll submissions
  • Manage Student Affairs communications

Project Support (5%)

  • Design reports and presentations for leadership including data collection and graphic design oversight
  • Manage annual reports for Student Affairs along with unit coordination of annual reports

Minimum Qualifications:

  • A bachelor's degree in business, finance, accounting, marketing, communications, human resources, project management, information systems, or related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.
  • 3-5 years of work experience in finance, human resources, business operations, and/or project management.

Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • 5-7 years of related work experience in extensive, diverse, and progressively responsible roles in finance, human resources, business operations, and/or project management including serving as a member of a unit leadership team.
  • Professional experience working in a marketing and communications department.
  • Experience with PeopleSoft HCM and Axiom or similar software for HR, budgeting, and planning tools.
  • Experience with Concur or similar software to process expense reports and travel reimbursements.
  • Experience with budget and expense forecasting, planning, and reconciliation in a professional environment.
  • Experience with HR services to include employee onboarding, leave, payroll, performance management, learning and development, employee engagement, and similar functions.
  • Experience with project management tools and implementing standard operating procedures for project intake and planning.
  • Willingness to attend trainings, as needed, and gain experience that can assist to advance the efforts of the Student Affairs team.

Competencies:

  • High-level of proficiency in Excel to develop formulas, automated reports, among other skills, to support fiscal responsibilities.
  • Proficient in the use of project management tools to optimize and improve operations processes and efficiencies of the unit.
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Demonstrated commitment and leadership ability to advance diversity and inclusion.
  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time, and meet deadlines.
  • Familiarity with State of Colorado fiscal policies and procedures

Salary and Benefits:

The hiring range (or salaryrange) for this position has been established at $72,340 - $73,709 and is commensurate with skills and experience.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
