Job Summary: The Staff Secretary performs general office support to ensure the smooth functioning of the assigned area(s).
Minimum Education: High School Diploma or GED.
Licensure, Registration and/or Certification: None.
Work Experience: 0 - 6 months related experience.
Knowledge, Skills and Abilities: Working knowledge of Microsoft Word, Excel and Access as might be used in the preparation of correspondence and reports. Effective interpersonal, written and oral communication skills. Ability to maintain strict confidentiality. Ability to perform word processing, database, order entry and spreadsheet programs. Ability to demonstrate self-initiative and motivation. Ability to organize and prioritize work in an effective and efficient manner.
Essential Functions and Responsibilities: Reception - Greets each individual with courtesy and respect, directing them appropriately, assisting them in completing any paperwork or forms as needed in a timely manner. Receives and processes telephone calls, takes messages and/or directs calls, communicating with proper etiquette and technique per telephone, overhead page, and intercom. Schedules appointments/meetings and takes notes/minutes as needed. Performs typing and data entry utilizing various computer applications/programs as required to accomplish these tasks. Creates reports, spreadsheets and/or other correspondence. Responsible for receiving, sending and distributing mail; routing correspondence to appropriate. Responsible for making copies, filing, faxing, and organizing any records, documents, reports as instructed or as is appropriate. Responsible for placing requests, ordering, inventory, assuring completion/receipt of maintenance jobs, placing orders, supply orders, housekeeping jobs, etc. as needed or instructed. Performs all other duties as requested which may include timekeeping, as needed, or instructed in order to ensure the smooth functioning of the assigned area(s).
Decision Making: Independent judgment in making minor decisions where alternatives are limited and standard policies/protocols have been established.
Working Relationships: Works directly with patients and/or customers. Works with internal customers via telephone or face to face interaction. Works with external customers via telephone or face to face interaction. Works with other healthcare professionals and staff.
