JOB TITLE:Staff Accountant

DEPARTMENT: Finance

REPORTS TO: Controller/Business Manager

SALARY: Up to $30.00 per hour

SUMMARY: The Staff Accountant is responsible for the payroll, accounts payable and cash receipts deposit and posting functions. Other activities include maintaining client financial records, manage petty cash, purchasing. This position supports the Controller and performs accounting activities including, but not limited to general ledger reconciliations, preparation of financial schedules, analysis of account activity and assisting in the budgeting and fiscal year end process.

DUTIES AND RESPONSIBILITIES:

Payroll:

  • Ensure the accurate and timely completion of the bi-weekly payroll function including associated journal entries
  • Review payroll related liability accounts and reconcile to general ledger.
  • Maintain payroll files
  • Timely filing of quarterly LST (Local Services Tax)
  • Distribution of W-2’s

Accounts Payable:

  • Ensure the timely and accurate processing of all invoices and their payment.
  • Ensure the appropriate approval and supporting documentation for all invoices.
  • Maintain accounts payable files
  • Review accounts payable and reconcile to the general ledger
  • Process annual 1099’s

Monthly Credit Card Reports:

  • Review monthly credit card reports and receipts submitted by cardholders

Petty Cash:

  • Review the monthly expense reports and petty cash reconciliation received from the program supervisors of each residential house (CLA).

Receipt Processing:

  • Ensure the timely and accurate deposit and posting of all payments received.

Accounts Receivable:

  • Process monthly room and board billing
  • Review accounts receivable and reconcile to general ledger

Purchasing:

  • In the absence of a purchasing department, the Staff Accountant assumes responsibility for requested and approved online purchases including Amazon and IT equipment as requested by IT consultant

Client Financial Records:

  • Manage client receipts, disbursements and documentation
  • Replenish each client’s petty cash as requested

Assistance to the Controller:

  • Assist with the annual budget process;
  • With the annual financial audit (including preparation);
  • And with providing information for the annual 990 tax return

Other Duties:

  • Process Royer-Greaves’ vehicle registration renewals
  • As assigned

SUPERVISORY RESPONSIBILITIES:

  • This job has no supervisory responsibilities

QUALIFICATIONS:

  • Bachelor's Degree from four-year college or university
  • Experience in fiscal management including: AP, A/R, payroll and benefits
  • Certificates, licenses and registrations required: Valid Driver’s License, FBI Clearance, PA State Police background check, Pennsylvania Child Abuse Clearance, Recognizing and Report Child Abuse certificate.
  • Computer skills required: Accounting Software; Microsoft Office; Payroll Systems
