The Staff Accountant plays a crucial role in ensuring accurate and timely processing of invoices, payments, and expense reports. It requires meticulous attention to detail and proficiency in financial systems. They are responsible for helping maintain the company’s financial records and fostering positive relationships with vendors. The role requires a strong understanding of the accounts payable process and a high level of familiarity with financial software.
This is a full-time, in-office role that works out of our Fairfax, VA location.
Key Responsibilities
- Maintain accurate and organized records of accounts payable transactions, invoices, and payments for multiple Ox Hill companies.
- Receive and review invoices for accuracy, completeness, and appropriate approvals.
- Enter invoices into the accounting system and ensure proper coding to relevant projects or departments.
- Prepare and present weekly cash requirement reports and print checks in accordance with vendor terms and company policies.
- Prepare and provide monthly aging reports to relevant internal stakeholders.
- Generate accounts payable reports and provide insights on spending patterns to assist in financial analysis.
- Maintain positive relationships with vendors, responding to inquiries and resolving any billing discrepancies promptly.
- Send new vendor packets and follow up on missing documentation as needed.
- Ensure vendor accounts are accurate and address any issues or concerns as needed.
- Review and process employee expense reports, verifying adherence to company policies and proper supporting documentation.
- Assist in month-end and year-end closing processes, providing necessary reports, and reconciliations.
- Reconcile company credit cards and follow up with employees to ensure appropriate backup is attached.
- Reconcile accounts payable transactions with vendor statements, identifying and resolving discrepancies.
- Ensure compliance with internal controls, company policies, and relevant financial regulations.
- Collaborate with cross-functional teams, including Development, Construction, and Architecture, to ensure accurate financial data and seamless workflow.
- Track certificates of insurance to ensure coverage is current and contact vendors for updated certificates as needed.
- Raise issues or concerns related to invoices and internal controls to the Controller.
- Conduct research for accounting-related projects.
- File digital and physical records appropriately.
- Assist in other duties based on business needs.
Education/Experience Requirements
- Bachelor’s degree in accounting, finance, or a related field -OR- equivalent accounting experience
- 4+ years of experience in a similar accounting role.
- SAGE Intact experience preferred.
- ERP Software Experience preferred.
- Must have a strong familiarity with Excel and using pivot tables.
- Strong adherence to guidelines, regulations, best practices, and instructions.
- Must be able to think critically and creatively about accounting-related issues.
- Must be able to clearly communicate reports and accounting-related issues to staff inside and outside the accounting department.
- Must have experience with Microsoft Office products, including Outlook and OneDrive.

Job Type: Full-time
Pay: $55,000.00 - $85,000.00 per year
