The Operations Division of Essex Vicinage is seeking a self-starter to join our team. The selected candidate will process transcript requests for standard and expedited delivery, as well as collect deposit fees as directed by the court; file, store and retrieve tapes and logs of all recorded court proceedings in the Civil, Criminal, General Equity and Family divisions; access CourtSmart logs for all divisions in order to process, store, retrieve and distribute requested transcript materials using the digital system; verify records and documents for accuracy, modify (update) records, review content of correspondence, memos or reports for conformity, completeness, clarity and accuracy. Additionally, the selected candidate will answer phone calls and inquiries from the public, explain judiciary policies and procedures to the public, handle unscheduled appointments for transcripts, provide quality customer service, inform clients or customers about available services, explain program eligibility requirements to clients or customers, provide copies of audio tapes and CDs to litigants requesting same, disseminate information and review end of year retention schedule for storage, utilize computer terminal to enter requests into the Appellate Transcript and OCR Management System (ATOMS), download and process e-filing requests and perform other related duties as required.

Salary:
The hourly rate for this position is $23.45.

Note:
This is a temporary six (6) months position with the possibility of an extension. The position is limited to a maximum of 944 hours in a fiscal year.

Qualifications

One (1) year of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, handling payments for fees, recording monies received, reconciling balances or accounts and/or scheduling meetings or appointments.
Testing:Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of 25 words per minute or must have otherwise demonstrated this competency as detailed below.
The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
  • All applicants who possess a current typing proficiency certification issued by the New Jersey
Civil Service Commission or the New Jersy Judiciary.
  • Judiciary staff that have permanent status in a career service title requiring a keyboarding
typing or stenography test.
  • Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.

Supplemental Information

Physical Ability: For some positions, applicants must have the ability to perform work which requires climbing and prolonged standing, stretching, bending and reaching. The selected candidate must be able to frequently lift and carry supplies weighing from 30 to 50 pounds and, occasionally, materials weighing up to 75 pounds.
Driver's License: Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position.
Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.
Special Note: Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information.
Residency Law: In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
