Summary
The National Center for Institutional Diversity (NCID) has an immediate opening for a Special Meetings and Events Planner. You will organize in-person, virtual, and hybrid meeting and event logistics for the NCID.
You will report to the NCID Communications Specialist. This is a hybrid position and will require 2-3 days in office per work week. Work on evenings and weekends may occasionally be needed to accommodate the office schedule and Events.

Responsibilities*
- Coordinate with NCID staff members, collaborators, and vendors in the planning and execution of NCID Meetings and Events.
- Manage NCID Activities and Events calendar to ensure efficiency across all NCID initiatives.
- Ensure NCID events are publicized broadly via NCID listservs, Happenings at Michigan, and other appropriate spaces.
- Identify key resources, visit prospective venues, and participate in pre-event meetings relative to NCID Meetings and Events.
- Manage logistics for events, including contract negotiations, creating event registration and maintaining attendee lists, venue preparation and tear-down, catering, transportation, audio/visual equipment, accessibility services, decor, etc.
- Move/transport supplies, materials, boxes, and/or art pieces weighing up to 40 lbs using a cart with or without reasonable accommodation, as part of venue setup and teardown.
- Be the production lead for NCID Meetings and Events (in-person, hybrid, and virtual) which include drafting event run of show, creating additional materials, coordinating collaborators for planning and debrief meetings, and facilitating planning and debriefing meetings.
- Manage day of event activities including serving as contact for vendors, overseeing client experiences, and troubleshooting.
- Troubleshoot any issues that arise before, day of, and after a meeting or event.
- Maintain a comprehensive database of vendors, venues, and important information for future event planning.
- Other appropriate duties as assigned.
Required Qualifications*
- Bachelor's degree or equivalent combination of education and experience.
- 2+ years experience organizing complex on-site, hybrid and remote events and meetings.
- Demonstrated ability to effectively identify, assess, and problem solve.
- Demonstrated commitment to Diversity, Equity, and Inclusion and an understanding of its relation to this role.
