About the Center of Family Love

Center of Family Love (CFL) in Okarche, OK is a faith-based, non-profit 501(c)(3) organization that provides residential and employment programs for adults with intellectual disabilities by cultivating their interests, skills and independence to live creative, productive and joyous lives. We are located 30 minutes west of north Oklahoma City.

Major Responsibilities

  • Manages and coordinates the Center’s fundraising events to meet performance and revenue goals.
  • Manage and coordinate gala, donor events, dinners, and other Special Events for the organization.
  • Strategize with team to maximize earned income potential of private events and create an experience for our donors that connects them to our organization and residents.

Responsibilities Specific to Fundraising Events

  • Prepare and monitor timelines for events.
  • Prepare and monitor event expense and income budgets.
  • Work with event committees, obtain bids, coordinate catering arrangements, work with caterers, develop menus, coordinate event logistics, facilitate related paperwork and agreements, and successfully execute the events.
  • Coordinate rentals, décor, entertainment, beverages, and service for events.
  • Provide onsite event management and coordination of staff, vendors, including set-up, check-in, tear-down.
  • Collaborate with VP of Philanthropy and Director of Philanthropy on strategic ways to promote fundraising events and development of communication material for all events.

Responsibilities Specific to Member and Donor Events

  • Creation, development, and execution of all donor events in collaboration with development department staff and other departments as needed.
  • Maintain and monitor expense budgets for events.
  • Serve as liaison between Center departments to facilitate successful events.

Responsibilities Specific to Private Events

  • Oversee inquiries and client meetings, scheduling, and budgets for events.
  • Oversee, update, and maintain the private and public events calendar for staff, supervisor(s), and organization.
  • Facilitate coordination between private events clients and caterer(s) including setup needs for all events.
  • Coordinate all aspects of the private events program from initial client contact, site visit, planning, to post-event clean up.
  • Prepare private event memo and work closely with caterers, Facility Director, Philanthropy Team Support, A/V Technicians, and administrative staff on organizing event details.
  • Provide monthly reports on all event outcomes and goals.
  • Supervise events and train volunteers and ensure smooth coordination and success of all events.
  • Work with VP of Philanthropy and Director of Philanthropy on marketing and promotion of events for the organization.

Qualifications

  • Bachelor’s degree in hospitality or similar field preferred
  • 2-4 years of experience in the event and meeting planning industry including client management
  • Excellent interpersonal skills and demonstrated experience planning events
  • Highly organized multi-tasker with good problem-solving skills
  • Demonstrated proactive sales and marketing skills
  • Proficient written and verbal communication skills
  • Regular onsite attendance is required to fulfill the major responsibilities of the job
  • Availability to work weekends and after business hours

Must have a valid driver’s license and access to a private vehicle for business use.

Physical requirements include frequent bending, standing, walking; continuous ability for speech communication and hearing in order to communicate with donors, the residents, employees and the general public. Vision for reading, recording, and interpreting information, ability to stand for long hours at a time, and the ability to lift/carry event boxes, tables and chairs that can weigh 25-30 lbs.
