Overview

The Senior Event Services Manager at Cox Business Convention Center (CBCC) manages a team of four full-time Event Managers and Coordinators under the direction of the Director of Event Services. The Senior Event Services Manager is responsible for providing professional client service and support in the planning, organization, and management of events within the facility, and monitors the logistics of these events. The Senior Event Services Manager oversees all tasks from the time the events are turned definite through the conclusion of the event and serves as the main means of communication and coordination between clients and other internal departments as necessary.

 

This role will pay a salary of $65,000 to $75,000.

The Cox Business Convention Center (CBCC) is located in the Arena District in downtown Tulsa, CBCC is a modern and award-winning venue providing over 275,000 SF of flexible event space. Owned by the City of Tulsa for over 50 years, the CBCC has been host to every kind of event imaginable!

Responsibilities

  • Manages team of four full-time Event Services staff as well as contracted personnel on site during events
  • Ensures successful event coordination activities by monitoring the status of all event advances and maintains close contact with clients, vendors, and staff to ensure a high level of service
  • Manages and oversees events as necessary and assigns events to the team
  • Meets with clients, external vendors, and internal teams assigned to events to facilitate logistics and needs
  • Guides clients in preparation of events by interpreting and explaining use license agreement provisions as well as facility policies and procedures
  • Keeps clients informed as to status of deadlines, including but not limited to diagram submissions, set-up specifications for leased spaces, and other related details
  • Prepares event cost estimates and monitors final billing
  • Provides clear, concise, and timely communication of detailed requirements to internal departments
  • Verify that event spaces have been set accurately to client specifications
  • Serves as primary liaison between clients and internal departments as needed
  • Monitors events in the facility, maintaining close contact with clients and venue staff to ensure successful events; follows up on all client requests, concerns, and issues during the event to ensure resolution
  • Maintains event-related information, documents, and files for archival purposes and historical data
  • Provides timely response and follow up on all client requests and event-related inquiries to ensure the appropriate department handles them
  • Attends staff and client meetings; develops and maintains a harmonious working relationship with all clients, external vendors, third party contractors, internal departments, and other stakeholders of events
  • Develops bid specifications, purchases, renewal agreements, and manage all related items to ensure quality and timely results when needed
  • Works with Director of Event Services in maintaining overall departmental budget and reaching departmental goals
  • Maintains a professional image, generates positive public relations, and provides excellent customer service to clients, guests, and staff working in the facility
  • Serves as manager on duty as required
  • Provides support to BOK Center teams as needed and when possible
  • Works extended/irregular hours including nights, weekends, and holidays as needed
  • Performs other duties as assigned
Qualifications

Qualifications

  • High school or GED certificate graduate required.
  • Associates or Bachelor's degree from an accredited college or university in event management, hospitality, sports management, tourism, arts administration, or related field preferred
  • 3+ years related experience and/or training or equivalent work experience
  • Customer service experience required
  • Trained Crowd Manager certification or ability to obtain certification
  • First Aid, CPR, AED certification or ability to obtain certification
  • Event or venue industry designations such as CVP, CMP, CEM, etc. preferred
  • Knowledge of event management, logistics, safety, and terminology
  • Knowledge of software including event management, diagramming, and other event-related computer applications
  • Ability to handle multiple events, projects, tasks, and deadlines simultaneously while being flexible to changing circumstances
  • Ability to work independently, exercising good judgement, problem-solving, and initiative
  • Must be licensed and insured to operate a motor vehicle in the United States
