The Special Collections department collects and preserves rare and unique materials including rare books, oral histories, university archives, historical manuscripts, maps, microfilm, photographs, art and artifacts. Collections are visited annually by scholars from across the country as well as by visitors to our reading room.

Position Overview
The University of North Texas Special Collections Department is seeking a Licensing and Loans Coordinator for a unique opportunity to fulfill licensing requests for moving image and photography collections held by UNT Libraries, document and prepare original artifacts for temporary loans to cultural heritage institutions, and supervise the temporary loan of traveling exhibits. This position will work with filmmakers, curators, authors, and others to perform in-depth research to identify relevant archival materials, complete license agreements, and collect licensing revenue. Additionally, this person will assist in executing and tracking loan agreements, preparing artifacts for transfer, receiving artifacts at the end of the loan period, and coordinating temporary rental of traveling exhibits. The Licensing and Loans Coordinator will work primarily at Willis Library in Denton, Texas, and may be required to occasionally visit library storage facilities in Denton. This position will be eligible for partial-week remote work subject to departmental needs. Under the supervision of the Head of Special Collections, the Licensing and Loans Coordinator may also participate in departmental initiatives such as workshops, instruction, digitization, and metadata creation as needed.
Responsibilities include:
  • Communicate with patrons requesting licensing services, provide information regarding terms of agreements, licensing fees, methods of payment, and other information as needed.
  • Assist in searching digital and physical collections of archival materials to find content that fits the parameters of a specific project.
  • Draft project specific license agreements, route agreements for signature, and file completed agreements.
  • Generate invoices, track payment of licensing fees, and provide financial reports related to licensing as needed.
  • Deliver full-resolution files to patrons.
  • Respond to requests for outgoing artifact loans, prepare loan agreements, assist in preparation of artifacts prior to loan, and coordinate return of loans.
  • Manage temporary rental of Traveling Exhibits including coordinating pick up and drop off, and inventorying exhibits on return.
  • Seek opportunities to expand the reach of the Licensing and Loans program through marketing, partnerships, or other opportunities.
  • Assist with other Special Collections projects as assigned, including preparation of large collections being digitized, metadata creation, and helping with workshops and special events.

Minimum Qualifications
Bachelor's Degree in related field and one year of related experience or any equivalent combination of education, training and experience.
Knowledge, Skills and Abilities

Preferred Qualifications
  • Experience working in archives or Special Collections
  • Experience performing archival research and/or in-depth historical research.
  • Rich knowledge of local north Texas and regional history
  • Customer service and negotiation skills
  • Experience with digitization and metadata creation
