Overview:
The Special Assistant to the Deputy Dean will facilitate the administration of Princeton's evolving on-campus summer academic and co-curricular undergraduate programs through close collaborations with key University partners. The selected candidate will lead the on-campus summer registration process, assist with the management of the newly inaugurated Summer Research & Learning Village, support the development of policies and procedures pertaining to summer on campus, coordinate with campus partners to develop and distribute timely communications to departments, administrative units, and undergraduates, and offer a programming calendar to Summer Research & Learning Village participants, as well as assist with the mid- to long-term planning of a coordinated summer term on Princeton's campus. While focused on the summer period, this role requires year-round work. This includes assessment, strategic planning, policy reviews, process and systems enhancements, communications, training, registration, and other implementation efforts.

Responsibilities:
Manage the on-campus summer registration process of Princeton and visiting undergraduates through the existing Summer Registration Portal (SRP). Further streamline the capture of students across all activity types, including those pursuing internships through Princeton-sponsored programs, conducting senior thesis research, taking credit-bearing courses, and working on campus. Work with the Office of the Registrar and the Office of Information Technology to develop and implement additional registration efficiencies. Serve as first point of contact for the registration process, including:
o Liaise with summer program administrators and other key stakeholders;
o Update the summer program directory, listserv, administer portal access in PeopleSoft;
o Track submissions, monitor timeline, and troubleshoot registration workflow issues;
o Lead content update and development for the SRP website;
o In collaboration with the offices of the Registrar and of Undergraduate Research, compile registration analytics.

In collaboration with University Services, lead the coordination of Summer Research & Learning Village (SRLV) housing, dining, and planning, including:
o Serve as Secretary to the Summer Housing Priorities Steering Committee, which annually evaluates programming space and summer housing needs;
o Work with the Office of Undergraduate Research to support SRLV programming needs;
o Work with Conference and Event Services, Housing and Real Estate Services, and Service Point to manage dormitory assignments by summer academic and co-curricular programs;
o Collaborate with the Office of the Vice President for Campus Life to determine residential life supports and co-curricular engagement strategies for all undergraduate students on campus during the summer.

Assist in developing and implementing, in conjunction with University partners, policies and procedures pertaining to on-campus summer undergraduates, including but not limited to term dates, code of conduct, and recommended stipend rates.

Coordinate with campus partners to develop and distribute central and timely communications to:
o Assist departments and administrative units, as well as undergraduates, with their planning of summer on-campus undergraduate activities, including information about summer registration, room & board rates and dates, the SRLV, and access to campus services;
o Connect with SRLV participants, affiliated faculty and administrators in case of a campus emergency;
o Share other important announcements to the village community, including village happenings and access to campus resources, through a variety of platforms including weekly newsletters, the summer website, and social media;
o Manage on-campus summer program directory information and summer student listserv; and
o Work collaboratively with campus partners to develop, support, and assess a rich SRLV programming calendar aimed at fostering community, health and wellness, and co-curricular and professional development.

Assist with the mid- to long-term planning of a coordinated summer term on Princeton's campus, including:
o Support development of proposed vision, goals, and priorities for summer at Princeton;
o A determination of staffing as well as budget needs to support the SRLV;
o Development of a budget for on-campus summer academic programs (i.e., teaching, administrative support, programming, and financial assistance); and
o An assessment of the availability of and undergraduate eligibility for campus services.
Qualifications:
ESSENTIAL:
  • Master's or professional degree
  • 5+ years experience
  • Excellent written and oral communication skills.
  • Timely and responsive organizational style.
  • Demonstrated project management experience.
PREFERRED:
  • Experience managing summer programs in Higher Ed or Higher Ed Administration
