Job OverviewThe Special Assets Administrator performs all administrative and/or paralegal functions associated with the transition of portfolios to Special Assets and maintenance of portfolios received by Special Assets. Manage the workflow and provide training in report preparation. Prepare, review and approve reports for Senior Management and Board Approval. Held accountable for the accuracy of all work performed in this role.

Job Description
Responsibilities include but are not limited to:
  • Responsible for all aspects of the administrative and/or paralegal workflow associated with the transition of portfolios to Special Assets, including the organization and maintenance of department files and management of the portfolio database.
  • Provide analytical, administrative and/or paralegal support to Workout Officers as needed, including analytical support with regard to loan histories.
  • Analyze and interpret loan portfolio information to produce relevant reports for use by senior management and other internal departments.
  • Prepare, review, and approve administrative reports of varying levels of complexity. Ensure accuracy of information before submission to the Board of Directors and Senior Management.
  • Coordinate compliance with departmental processes regarding loan administration and processing.
  • Provide training to Workout Officers and others within the department with regard to the use of Excel and other core systems used in connection with portfolio transition and maintenance.
  • Respond to requests for group-wide information and/or tasks from other areas of the Bank.
  • Compile, research, analyze and prepare submission data for annual IRS reporting (1099 and 1098).
  • Document workout files to ensure regulatory compliance with bank policy.
  • Act as a liaison with auditors, examiners, insurance agents, and municipal taxing entities. Upon Workout Officer request, act as liaison with outside counsel.
  • Handle the production of discovery in connection with Special Assets' litigation matters.
  • Perform notary duties associated with the execution of certifications and affidavits.
  • Prepare loan documents for release and recordation on settled and paid in full loans.
  • Perform other job duties as deemed necessary by supervisor.
  • Prepare correspondence to borrowers and outside counsel when necessary.
  • Prepare monthly customer bills on loans that are no longer on the system.
  • Calculate and prepare payoffs.
  • Maintain reports for follow-up of hazard insurance, flood insurance and UCC filings.
  • Prepare payment applications for loan payments and payoffs.
  • Prepare and maintain non-accrual and charge-off payment histories.
  • Prepare monthly proofs of department general ledger accounts and bank statements.

Requirements
Required Skills:
  • Excellent written and verbal communication skills.
  • Strong leadership skills.
  • Ability to deal effectively and tactfully with customers, vendors and other third parties.
  • Strong working knowledge of Microsoft Office, Word, and a proficiency in Excel.
  • Strong interpersonal skills and ability to work well with others in all departments of the bank.
Required Experience:
  • High School Diploma or GED
  • 3+ years of administrative, accounting, and paralegal experience with a concentration in commercial loan servicing and accounting
Preferred Experience:
  • Paralegal Certification
  • Knowledge of Miser, Zeus, Bakerhill, Infolease, PCFS, and AFS/evision

Pay Range InformationExact compensation may vary based on skills, experience, and location.
Salary Grade Minimum - Annual$54,600.00
Salary Grade Maximum - Annual$91,000.00
Salary Grade Minimum - Hourly$26.25
Salary Grade Maximum - Hourly$43.75
