The Site Services Administrator is a member of a Team providing Facility Services, operations and maintenance of mechanical and electrical systems and Site Services at 200 Metro Blvd.
The Site Services Administrator supports Site Services Manager in the planning and organization of space assignments and internal moves. Acts as the liaison to IT to coordinate internal moves and assisting with conference room setup. Ensures that floor plans and seat assignments are current. The Administrator also assists with implementing capital improvement projects.
This position is responsible for the receiving process for goods ordered through SRM by various departments within Eisai (Nutley, N.J), including receiving incoming goods and preparing returns for shipment as needed.
Position is responsible of the daily upkeep of the security system, which includes ordering supplies, issuing of photo identification badges to new employees/contract workers, and issuance and distribution of quarterly reports.
Processing of all requests for stationary and business cards for the Nutley, NJ Facility and sales force are the responsibility of the Site Services Administrator.
Essential Functions
- Issuance of Purchase Orders and Receiving of goods in SAP. All incoming goods created through SRM must be received and confirmed. Once all items are confirmed received, the goods are entered as received in SAP. Invoices can then be processed for payment. The receiver must confirm receipt for each line item that was requested by the business unit. Upon confirmation, the receiver must obtain an approval signature from the business unit confirming that all goods on the purchase order have been shipped and received.
- Creating reports for utilities, budgets, work orders and other facility related services.
- Create and update badges for all employees, consultants, temps, and outside contractors who will be working in Nutley, NJ. Change access levels as well as time zones. Run reports as needed. Place orders for all badge holders, security badges, visitor badges, and printer supplies. Issue quarterly reports to manager for approval to verify access levels assigned to authorize personnel.
- Responsible for placing orders online for all stationary and business cards. Review all forms for business card orders to confirm that all information is complete and has a p-card number for charges. P-Card monthly reconciliation
- Support the Site Services Manager in the planning and organization of space assignments and internal moves. Act as the liaison to IT to coordinate technology equipment moves. Update floor plans and seat arrangements. Assist with the "on boarding" process of new employees. The Administrator also assists with implementing capital improvement projects.
Requirements
- Knowledge of Excel, Word, basic computer skills
- Strong organizational skills, attention to detail, strong interpersonal skills needed to work with our internal clients
- Experience working with mailroom equipment, FedEx, UPS, Office Depot, MS Office and Outlook
- Must be capable of lifting 50 lbs. paper box.
