Service and Projects Administrator - We are seeking a highly organized and detail-oriented Service and Projects Administrator to join our team in Raleigh. In this role, you will play a crucial part in managing the administrative aspects of HVAC service operations and replacement/retrofit projects. Your primary responsibilities will include new contract administration, maintaining and implementing project timelines, project permitting and tracking, and ensuring seamless communication between technicians, clients, and vendors.
Pay Range: $55k- $75k Depending on experience
Primary Duties/Responsibilities:
- Call Summary Review process
- Assist Sales and Care Reps as needed
- Contract Review Process/Power BI Reports
- New/Existing Contract Implementation
- Contract Renewal support
- Assist Accounting with A/R Issues
- Spot Invoicing (inquiries & credits)
- Spot Quote Process
- Sales & status of service inquiries - internal & external
- K2A process development to extract value from the system
- Purchase order management
- Project/Replacements - warranty, system update in K2A, permits, coordinate inspections
- Service Team Reporting - Tech Scorecard
Qualifications and/or Skills Required:
- Must have work order management (WOM) / Enterprise Resource Planning (ERP) system-type exposure/experience. Experience with Key2ActGreat PlainsWennsoft would be a huge plus.
- Must have strong business acumen and analytical skills as it relates to a B2B service business and processes.
- Must be process-oriented and able to manage and develop new processes - that improve service levels, transactional quality, and/or otherwise improve the customer, service manager, or technician experience.
- 5 years of experience in a manager of people role - preferably in a service-type business.
- Bachelor's degree in business and/or similar curriculum - or equivalent relevant work-related training and experience.
- Must have strong communication skills and an effective interpersonal style.
- Must be an effective change agent and willing to challenge the status quo when it makes sense to our customers, team members, and business.
- Must be able to work effectively across groups (Service and Service Projects)
