Responsibilities- The Controller’s Office offers career ladders for many of our positions which allow tenured employees promotional opportunities within their job. The successful candidate will be hired at the most appropriate level of Senior University Accountant level I through IV, based on education and experience.
- This position is responsible for disbursing and monitoring all University payments which include Accounts Payable, Payroll, Student Business Services, Internal Auxiliary Services, Travel Services, DSO’s and Satellite Campus’s payments. Works closely with several University Central Offices, University departments, and University suppliers with payment inquiries and complex payment issues.
- Utilizes foundational knowledge to handle University payments, invoice management, supplier management, card compliance, and monitoring voucher status to ensure prompt payment guidelines are followed.
- Elevates concerns to upper management, as necessary, for insight and direction. Ensures timely, accurate responses to inquiries received to the group inbox as a member of the team.
- Develops policies, procedures, and objectives for internal disbursement procedures; the Stop Payment Request process, managing supplier updates through the Supplier Portal, forcing receipts, and processing statements.
- Applies basic knowledge of accounting & budgeting principles and practices. Coordinates with Treasury Management and departments to process all stop payment requests for checks and EFTs.
- Ensures payments are stopped in OMNI and properly reissued if requested.Interfaces with Business Application Services (BAS/ERP) to complete basic functional process improvements and implement and test new/existing functionality (such as during system upgrades). Prepares standard activity, metrics, and exception reports for review by senior staff. Builds awareness of the Stop Payment Process.
- Provides backup support with processing departmental mail merge, invoice management, processing pre-paid cards; and creating and updating Disbursement Service website content.This will include creating accounting journal entries for reconciliation processes, obtaining, and reviewing student information for ordering cards, support to departments in the form of training and guidance as well as ordering/funding/defunding of prepaid cards. Enters, updates, and monitors cases, communicating issues and delays to management. Understands basic queries and reports; maintains departmental listing of queries relevant to area’s duties. Builds awareness of University Check Handling and Distribution procedures.
- Responsible for processing virtual card transactions. Monitors and assists suppliers to ensure payments are processed promptly. Reissues payment due to payment error or payment expiration. Act as a liaison between the supplier and the University’s Virtual Card Provider.
Master’s degree in accounting, finance, or similar field and two years of relevant experience; Bachelor’s degree in in accounting, finance, or similar field relevant field and four years of relevant experience; or a high school diploma or equivalent and eight years of experience in accounting, finance, or similar field. (Note: a combination of post high school education and experience equal to eight years.)
- Candidates with additional years of related experience will be considered for Accounts Payable Specialist roles level II- IV. Each level requires an additional two years of related experience.
