Job Description/Summary:
This position serves as a key resource for coaching and driving the implementation of a Lean-based management system across UCSF Benioff Children's Hospital Oakland (UCSF BCH-Oakland). The purpose of the lean management system is to drive continuous process improvement to improve clinical and operational performance throughout UCSF BCH-Oakland. The Senior Physician Lean Consultant is responsible for using extensive lean knowledge, skills, behaviors, and healthcare experience in addition to a deep understanding of medical care to mentor and develop leaders, and implement and deploy a clear understanding of key processes, business problems and operational challenges facing the organization as an enterprise, as well as individual departments to produce performance results.
The Senior Physician Lean Consultant supports strategy deployment including the development and deployment of A3s, the study/adjust process, and the coaching and education of executives. This includes supporting the development of leader standard work and visual management for cascaded goals that connect senior management's work to the work of the frontlines (hoshin kanri).
The Senior Physician Lean Consultant will function as part of a team of individuals responsible for teaching and coaching executives, managers, clinicians and frontline staff on the application of lean principals to solve organizational problems and develop people.The Senior Physician Lean Consultant will lead and facilitate improvement events and projects of a complex nature with minimal oversight, including assessment, planning, event facilitation, and follow-up/sustaining results. This position is responsible for overseeing multiple value streams, and oversees all phases of the improvement work to effectively increase value as measured by improved quality at lower cost through improved utilization and productivity across the enterprise. Additionally, the Senior Physician Lean Consultant will mentor Associate Lean and Lean Consultants.
As an ambassador of continuous improvement, the Senior Physician Lean Consultant will disseminate elements of the evolving UCSF BCH-Oakland lean management system, including coaching and teaching lean principles, tools, and behaviors aimed at engaging staff across all disciplines in improvement work. Where appropriate, the Senior Physician Lean Consultant will lead improvement activities that transcend quality, clinical and operational dimensions to support achievement of the organizational goals as measured in the BCH enterprise True North goals and annual priorities. In concert with project sponsors and senior executives, the Senior Physician Lean Consultant will assess and identify problems and opportunities, coordinate the activities of the improvement team, identify appropriate resources needed, and develop a schedule to ensure timely completion of improvement projects as well as escalate barriers appropriately to senior leaders.
The Senior Physician Lean Consultant works directly with CEO, COO, Executive and Senior Leaders across BCH/UCSF to accomplish specific strategic outcomes, including partnering with the Executive Director of QBI in strategic planning support and Executive Lean Coaching. This position will help UCSF BCH leadership to identify and prioritize value streams and use strategy deployment to advance the organization's ability to meet and exceed key strategic initiatives and in tandem with the Executive Director of QBI, will be a regular invitee/attendee to various Leadership level meetings as an advisor and thought partner
Collaborate with the President/COO to develop and execute a strategic roadmap, providing guidance and support in aligning executive team goals with the organization's overall strategy. Implement capability-building initiatives for the executive team, ensuring they have the skills and tools needed to drive organizational performance and improvement.
As a respected member of Quality Built-In department (QBI), the Senior Physician Lean Consultant must be able to establish effective relationships with Executive Sponsors, Process Owners and other key stakeholders across all disciplines represented across the BCH enterprise. The Senior Physician Lean Consultant must demonstrate an advanced ability to effectively advise on change/process transformation in the dynamic UCSF BCH-Oakland environment. This individual must be able to establish themselves as a respected and trusted leader of change, building upon a proven track record of achievement in performance improvement. The Senior Physician Lean Consultant must demonstrate competency in their role as consultant, facilitator, change agent, and leadership coach. The Senior Physician Lean Consultant may oversee and provide direction on work activities of QBI team members to achieve performance results. The individuals in this position will perform all duties in a manner that promotes teamwork and reflects the UCSF mission, vision and values.
Essential Functions:
  • Process evaluation and project design
    • Assist in facilitating operational workgroups in mapping various work processes at baseline, during and after implementing changes.
    • Assess the impact of required changes to infrastructure, processes, people, products, techniques, technology and outcomes.
    • Facilitate the design and testing of recommended changes to work processes with staff and stakeholders.
  • Education, knowledge transfer, staff development, and coaching
    • Assist in the development and delivery of content to educate physicians and staff on UCSF BCH-Oakland process improvement framework and approach including lean principles in advance of improvement efforts within and across departments and lead standard work roll-out and change management initiatives.
  • Reporting and communications
    • Support physicians, physician assistants, nurse practitioners, frontline staff, process owners, sponsors, and key stakeholders in interpreting and summarizing data, developing structured communications to support efforts, and engaging staff and leadership throughout projects.
  • Sustainability
    • Coach and support physicians, physician assistants, nurse practitioners, frontline staff, process owners, sponsors, and key stakeholders in developing and implementing an active daily management system.
    • Support the management of the post-project implementation plan.
    • Maintain regular status checks with project teams to monitor for untoward consequences of process changes and collaboratively resolve any such consequences.
    • Support others in the performance improvement strategies, methods, and behaviors.
    • Coach on principals, behaviors, tools, and methods to support continuous performance improvement efforts.
  • Continuous Improvement
    • Assist in developing and communicating improvement efforts, including design using the A3 Thinking framework, Hoshin, Lean, DMAIC and other Cont Improvement methods.
    • Provide coaching for physicians, physician assistants, nurse practitioners, frontline staff and area leaders to secure the necessary resources from within the work area to ensure adequate representation of all key stakeholders in process improvement effort.
    • Support the development of Quality Built-In Department product offerings and infrastructure, including lean and continuous process improvement "Best Practices,¿ principals, tools and methods for lean education and promotion of lean thinking and behaviors throughout UCSF BCH-Oakland.
    • Provide coaching and role modeling of desired leader behaviors.
    • Partner with and oversee other Quality Built-In team members and key operational leaders in support of strategic improvement activities.
    • Advise on the QBI curriculum and training for staff, executives and lead certain training sessions

  • California medical license
  • Lean and continuous process improvement expertise in healthcare or another relevant setting highly preferred.

  • Demonstrated exceptional skills in consulting, group process facilitation, whole system design, negotiation, change management & conflict resolution, and a demonstrated track record of positive relationships with previous clients. Outstanding customer service orientation.
  • Strong communication skills (verbal, written and listening) with ability to interact effectively across the organization, especially in situations requiring instructing, persuading, negotiating, resolving conflict, consulting and advising. Must be comfortable speaking in public and to various audiences.
  • Skilled in teaching improvement concepts and principles to diverse audiences from senior management to frontline staff.
  • A demonstrated ability to coach senior level leaders, balancing their needs with the goals of the Lean initiatives.
  • A demonstrated track record of successfully working with and motivating diverse work teams, including physicians, facilitating complex teams and managing change.
  • Able to plan, organize, motivate, mentor, direct and evaluate the work of others.
  • Able to manage multiple enterprise-wide initiatives and consulting teams to achieve project goals. Able to perform complex tasks, prioritize multiple projects, and work under pressue to meet deadlines in a fast-paced environment.
  • Excellent project management skills including project time, budget, and scope.
  • Able to read & interpret data; translates data into meaningful information and uses data to shape work at both the department and enterprise level; possesses strong analytical and critical thinking skills.
  • Highly proficient in all applications of Microsoft Office, with an emphasis on Excel, Powerpoint, Visio, Word and Outlook.

Technical Knowledge:
  • Lean systems certification.
  • Demonstrated strengths in project management processes and methodologies including stage-gate reviews

Minimum Education: Medical Doctor (MD) or Doctor of Osteopathy (DO) degree
Minimum Experience:
  • Ten years of experience in a healthcare or clinical setting.
  • Five years of experience in a dedicated lean or continuous process improvement role managing teams either on improvement projects or in operations within Healthcare, Pharma or biotech preferably
  • Previous healthcare management experience in hospital or ambulatory settings with understanding of utilizing data to driven decision-making.

License Required: California medical license
Certification Required: QBI/lean certification.
Medical Staff Membership Required: Preferred, but not mandatory

  • This job requires the ability to hear alarms clients and/or instruction. The ability to see accurately from 20 inches to 20-ft. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential function of this position.
  • Must be able to stand for long periods of time while teaching in a classroom or sitting for extended periods of time while teaching using technology-mediated environments (i.e. powerpoint, webex, etc.). This may include lifting up to 25 lbs. of instructional or other tools and/or walking 5-10 miles a day during Rapid Improvement Events. Additionally, during event weeks there will be long days and abnormal workday start and end times to ensure a successful event achieve event metrics.
