Senior Manager, Grant Programs

  • Department: Greenheart Exchange Grant Programs
  • Type: Full Time
  • Hours: 40 hours per week, Monday-Friday, 9:00 am - 5:30 pm CT US
  • Location:Position is remote however candidates in the Washington D.C. area are encouraged to apply.

Greenheart Exchange is a grant recipient and placing organization for:

  • U.S. Department of State’s Future Leaders Exchange (FLEX) program
  • U.S. Department of State’s Kennedy-Lugar Youth Exchange and Study (YES) program
  • Greenheart may also be awarded other grant opportunities, for whichoversight and administration would be a part of this position.

FLEX and YES are high visibility public diplomacy programs funded by the U.S. government under the Department of State’s Youth Programs division, Bureau of Educational and Cultural Affairs (ECA). Both programs bring international high school students to the United States for a cultural exchange program that allows them to attend school and live with a volunteer host family for an Academic Year or Semester. Greenheart operates both programs alongside our own J-1 sponsor designation for secondary school exchanges under BridgeUSA.

As one of the few environmentally consciousness J-1 visa sponsors, we pride ourselves on providing a quality experience while encouraging and enabling Greenheart staff, participants, host families and local coordinators to work together on projects that promote environmentalism and sustainability.


Our Ideal Candidate:

The ideal candidate should be outgoing, organized, and flexible with changing priorities. They should have excellent customer service skills, time management abilities, and research skills. This person should be comfortable working hard, being self-directed and at ease communicating with many different stakeholders. In a fast-paced working environment, the ability to oversee multiple projects and deadlines is essential in this role.


Duties:

The Senior Manager, Grant Programs will administer the day-to-day tasks and projects for Greenheart’s FLEX and YES Grant Programs within the Secondary Student Program, potentially Greenheart Odyssey Programs and other grant opportunities, and may also provide support to other BridgeUSA programs within various departments at Greenheart Exchange as needed. The Senior Manager will work closely with the Director of Grant Programs, in cooperation with various divisions/functional areas, including operations, enrollment, program support, marketing and communications and compliance. Working with the Field Network for placements, general oversight, tracking and resolving escalated programming issues, providing relevant training. This position supervises the Field Manager of Grant Programs.

Some things you may do in this position:

  • Managing the successful fulfillment of agreed upon grant services and serving as point of contact for Youth Programs at Department of State (ECA) and American Councils (AC).
  • Work with Enrollment team to ensure processing of new student applications and ensure timely turnaround from time of receipt to entry into Greenheart database. Includes entering applicant data into Greenheart Exchange database and following up with American Councils (AC) for any additional information.
  • Generate highlights of student achievements and standout enhancement activities for website, newsletters, social media, etc. and meet regularly with Marketing to publish this via our various channels; and provide updates for the Grant Programs page of the Greenheart website
  • Work collaboratively with field team to coordinate outreach to field and to cheerlead active field staff through a successful placement season
  • Make direct calls to local coordinators (LCs) and coordinate with executive regional directors (ERDs) to support and encourage placements and meeting individual goals throughout the placement season
  • Follow through communication plan with LCs, host families, Mobility International USA regarding students with disabilities to ensure accommodations are made within the first month and throughout students’ programs
  • Work with the field and organize FLEX Language Program each year

  • Promote culture of continuous improvement by collecting feedback from the team and collaborating with other departments and Greenheart International leadership to improve program administration
  • Review and provide feedback on staff and stakeholder training materials
  • Review Grants.gov website periodically through the year to both identify submissions schedules and also bring other potential grant funding opportunities to review with Director of Grant Programs and VP of Compliance and Program Support
  • Facilitate lines of communication by assisting RDs and LCs with counseling and problem solving including handling complaints from students, host families and schools; conveying requests of student, schools, field staff and international partners; reporting developments to field staff and international partners; assisting with damage control; assisting with writing any needed disciplinary documents.
  • Conduct regular training calls/webinars to field staff to keep them informed and on track to meet program requirements
  • Conduct annual outreach to get feedback from LCs participating in Grant programs (ex. survey) to gauge satisfaction and needs for each upcoming year
  • Identify training opportunities for annual grant conference and online training which includes negotiating services, scheduling training segments, organizing recordings for online training and working with Systems team to add to Greenheart database or other Greenheart online systems
  • Potentially test online database changes and take part in the new system creation
  • Assist in the development and revisions of Greenheart procedures and policies
  • Lead and/or assist with cross-training initiatives within the organization
  • Carry the emergency cell phone and answer calls routed through the phone service and resolve emergency issues to the best of your ability or refer to another staff member, if necessary
  • Participate in Greenheart meetings and conferences, as needed
  • Spearhead additional grant application opportunities, as agreed to prior with leadership. Be prepared to supervise entire grant process for the organization, if applicable.
  • Act as back-up for Grant Programs Field Manager and Director of Grant Programs
  • Support and follow through with requests from Director of Grant Programs, VP of Compliance and Program Support, Chief Executive Officer and President
  • Assist in the development or revision of Greenheart procedures, policies and program materials
  • Participate in Greenheart meetings and conferences
  • Assisting in everyday functioning of the office including filing, faxing, copying, data entry, mailings, answering phones and providing direction to temporary staff hired for these functions.


Some qualifications that are given preference:

  • Master's degree in business management, international relations or administration, non-profit management, public policy, sociology, or other relevant field, preferred, or bachelor's degree with commensurate experience
  • 1+ years' experience leading and developing staff, preferred
  • 3+ years process and operations management experience, preferred
  • Experienced analytical thinking and problem solving
  • Ability to effectively develop and maintain collaborative internal and external relationships with a diverse group of stakeholders
  • Ability to lead and develop staff in areas as needed
  • Excellent and persuasive communication skills, both written and oral
  • Passion in helping people grow the purpose-driven Greenheart Mission
  • A strong strategic and business mindset
  • Excellent organizational and leadership skills including mentorship and professional development
  • Outstanding communication and interpersonal abilities
  • Ability to navigate ambiguity successfully and with sound judgement
