Job Description:

We are seeking an exceptional individual to serve as a Senior Lifestyle Associate within Trove's Family Office Division. The Lifestyle Senior Associate will provide household management, payroll and outsourced HR administration, insurance administration, and concierge services for our clients.

Responsibilities:

The Senior Lifestyle Associate will work with the other members of the Lifestyle team, members of the financial team and the clients directly to ensure the following tasks are completed:

  • Coordinate and schedule household vendor appointments and manage follow-up as necessary. Occasionally attend vendor appointments at client homes. Coordinate with onsite property managers, household staff and vendors.

  • Manage household vendor schedules and maintenance calendars for client homes and update throughout the year. Conduct vendor due diligence and research service providers in a particular field.

  • Property and Casualty insurance administration. Communicate with clients insurance agents to update policies on cars, homes, boats, or valuable articles. Review insurance annually.

  • Perform health insurance research and cost analysis, including Medicare and individual health insurance enrollment. Evaluate concierge medical providers.

  • Outsourced HR and Domestic staff management. Responsibilities may include formulating job descriptions, searching for candidates, interviews, drafting employment agreements, and performance reviews.

  • Communicate with household staff and assist with scheduling, purchases and any necessary assistance

  • Full payroll and benefits set up (health, dental, 401k, etc.), management and continued administration. Communicate with clients insurance agent any updates to household staff and facilitate throughout the entire process.

  • Perform client research and analysis in a variety of lifestyle areas.

  • Season ticket management and procurement of exclusive experiences

  • Travel management

  • Event planning

Skills and Experience for Success:

  • Experience working with high-net-worth individuals and their advisors

  • 5 years prior insurance, payroll, household management or personal assistant experience required.

  • Computer literacy is required, including proficiency in the use of all Microsoft Office programs and internet research.

  • Self-starter with the ability to work independently and demonstrate initiative to learn new skills and tackle a wide variety of client requests with enthusiasm. Willing to put in the extra time needed to master new skills.

  • Ability to transfer skills and insight learned from one project to another.

  • Ability to manage not only themselves, but others, meaning vendors, or domestic staff that clients employ.

  • Strong attention to detail and accuracy.

  • Ability to interact with clients and vendors in a professional and timely manner while effectively demonstrating confidence

  • .Adhere to high confidentiality and fiduciary standards.

  • Ability to organize, prioritize, and execute successfully in a fast-paced environment. Follow-through on all deadlines and commitments.

  • Desire to participate in and contribute to the growth of a small company.

Position Reports to:

Sr. Director of Lifestyle Management

Location:

This position is located in our Bryn Mawr, PA office, with the ability to work remotely up to 2 days per week after a 120-day training and onboarding period.
