JOB DESCRIPTION
This position will be in-office on Wednesday and remote Thursday - Sunday and will require flexibility to adjust work days and hours as needed to cover department needs.
Hours:
Wednesday - Friday: 1:00 p.m. - 9:00 p.m.
Saturday - Sunday: 11:00 a.m. - 7:00 p.m.
This position will have an internal job title of ABSR (A&B Special Resources a/k/a Alston Discovery) Senior Coordinator. You will be responsible for staffing time-sensitive projects with contract attorneys and other resources for the Firm's Special Resources Group. This position reports to the ABSR Manager and will assist with a variety of responsibilities related to our contract attorney staffing from resume review to onboarding as well as a variety of administrative tasks. You will be working in a fast-paced environment and will need to possess strong attention to detail, the ability to work independently and be a team player.
ESSENTIAL DUTIES
  • Coordinate and staff time-sensitive projects with hourly attorneys and other resources for the Firm's legal discovery practice group (Alston & Bird Special Resource).
  • Maintain current knowledge of the status and skillset of all hourly attorneys to efficiently and promptly allocate resources to work on document review projects and other legal matters within the Firm.
  • Act as a professional liaison between the Firm's client teams, hourly attorneys, and preferred staffing vendors.
  • Ensure that all pre-hire and onboarding tasks for new and rehires as well as the offboarding process are completed according to department protocols.
  • Collaborate with HR, Finance, IT, and Administrative groups to onboard new and rehire hourly legal professionals.
  • Review resumes, conduct phone screens, schedule interviews, and conduct reference checks for the ABSR Manager.
  • Maintain accurate records in Workday (A&B's HR Information System) and SharePoint, including all records pertaining to work status and personal employment information.
  • Schedule orientation and firm required training for new hires.
  • Under the guidance of the ABSR Manager, mediate any sensitive HR issues that arise with or between employees and submit appropriate documentation, as needed.
  • Update and send weekly and monthly project updates and reports to the ABSR Manager and leadership team.
  • Serve as a point of contact for general inquires, department-related matters, and HR requests within our department.
  • Provide staffing coverage as needed for other members of the Special Resources Human Resources team.
  • Coordinate meetings, socials, and holiday luncheons for our department.
  • Act as the Crisis Manager for our department.
  • Perform other duties as assigned.

SKILLS NEEDED TO BE SUCCESSFUL
  • Possesses excellent administrative skills.
  • Ability to accurately type at an appropriate speed.
  • Computer skills, including working knowledge of MS Office applications.
  • Ability to listen to and communicate effectively with others, both orally and in writing.
  • Ability to establish effective working relationships throughout the Firm, including the skills to be a team player and work with a wide variety of individuals.
  • Ability to effectively handle telephone, email, and text contacts with agencies and candidates.
  • Ability to concentrate on detail and organize work.
  • Ability to work under time restraints and deadlines in a very fast-paced environment.
  • Ability to understand and learn the complexities of the day-to-day operations of a contingent work force.
  • Thorough knowledge of Firm systems and procedures to efficiently meet client, attorney and recruiting demands.
  • Thorough command of the English language, including excellent spelling, grammar, punctuation, syntax and forms.
  • Enthusiastic and able to exhibit a good attitude about their work and the Firm.
  • Maintain good organizational skills.
  • Exercise good judgment.

EDUCATION AND EXPERIENCE
  • High school diploma or equivalency.
  • Associate or Bachelor's degree is not required but preferred.
  • Previous administrative, recruiting/staffing experience of 3-5 years in a related environment.
