DESCRIPTION:
A Senior Commercial Property Manager is highly involved with all aspects of managing a portfolio of 20–30 properties, while also providing the necessary training, support and guidance to Property Managers, partnering with accounting representatives, and leasing agents to deliver the highest service possible to our clients. Scope of the job includes tenant relations, capital project bidding, vendor bidding, selection and coordination, property maintenance, physical inspections, T.I. oversight, collections, financial reporting, approving and enforcing lease provisions, maintaining lease files, and various accounting/administrative tasks.
POSITION RESPONSIBILITIES:
- Provide comprehensive support to property owner/clients
- Monitor, coordinate and oversee the interior and exterior maintenance as required
- Build and maintain tenant relationships
- Coordinate and manage tenant improvement projects
- Assist in the preparation of annual property budgets and CAM reconciliations
- Participate in new leasing and lease renewals
- Provide comprehensive support to property owners, clients, Property Managers, brokers, accounting and maintenance personnel
SKILLS / QUALIFICATIONS / GENERAL COMPETENCIES:
Appropriate education and/or experience may be substituted on an equivalent basis
- Arizona Real Estate License
- Minimum of 5 years of Commercial Property management experience
- Commercial Association Management experience is a plus
- Individual must have exceptional organizational skills
- Effective oral and written communication skills
- Strong administrative and clerical skills
- Working knowledge of accounting and finance
- Proficiency in MS Word, Excel, Outlook and general computer/office technology
- Experience with Yardi/Payscan a plus
- A BA/BS degree is preferred
- Responsive, friendly, positive attitude towards clients, tenant, vendor and coworkers.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative functions
· Composes and types routine correspondence.
· Maintains correspondence and other record files.
· Answers telephone and give information to callers or routes call to appropriate person, and places outgoing calls.
· Monitors insurance certificate tracking for tenants and vendors.
· Compiles and types statistical reports.
· Tracks utility usage
Accounting Functions
Accounts Receivable:
· Assists with annual reconciliation and budgeting process
· Inputs property management tenant forms in timely fashion
· Submits accounting reports, rent rolls, late fee reports directly or approve for the Property Manager to accounting department by due dates outlined in the monthly calendar.
· Works with Property Manager to resolve outstanding issues regarding tenant’s accounts receivable.
Accounts Payable:
· Approves invoices in Yardi/Payscan for weekly submittal to accounting department.
· Reviews all monthly accounting reports to include monthly financial packages prior to distribution to owners.
· Works with vendors and tenants to resolve disputes.
Lease Administration:
· Abstract new and renewal leases directly into Yardi system
· Process all new and renewal tenant information
General:
· Keeps Supervisor apprised of problems, changes and special request made by owner’s representative, tenants, as well as team members.
Individual must be confident enough to make difficult decisions and strong enough to explain and enforce those decisions. The job also requires a great deal of flexibility and versatility – quickly moving from situation to situation, shifting priorities, and calmly handling distractions. The ability to multitask is key.
Above all, this individual must enjoy working with people and find satisfaction in helping the customer.
COMPUTER SKILLS:
- Yardi property management software experience is a plus.
- Intermediate to advanced experience with Microsoft Office (Word, Excel, Outlook), and Adobe or equivalent.
