SUMMARY DESCRIPTION
Under general supervision of the Purchasing Manager, the Senior Buyer is responsible for vendor selection and qualification, material sourcing, procurement, and the timely delivery of raw materials required to support manufacturing and daily production requirements. In accordance with prescribed purchasing regulations set for by the company, the Senior Buyer works closely with Shipping, Quality Assurance, Quality Control, Sales and Lab personnel to ensure on all sample requests and material certifications are on hand prior to production.
PERFORMANCE EXPECTATIONS
- Monitors the low stock status reports and other indicators to maintain an acceptable raw materials inventory to meet production schedules. Reviews above reports with Production Planner and alerts team members when said items are not available to meet the production schedule.
- Ensures the cost effective purchase and transportation of raw materials and supplies.
- Files claims for short shipments and/or damaged shipments of incoming raw materials.
- Verifies all purchasing related invoices & freight bills for incoming raw materials and supplies (i.e. price, qty., pack & specs) are correct.
- Maintains accurate information on all inventories held at outside locations by vendors/manufacturers.
- Ensures SAGE is updated and maintained reflecting last order pricing, MOQ, and lead-time.
- Team works with lab, QA, QC and sales in the qualifying of new raw material vendors.
- Performs miscellaneous Purchasing related duties as assigned and requested.
DIMENSIONS, TASKS AND ESSENTIAL FUNCTIONS
- Reviews “Cut/Shortage” reports daily to identity and act on low stock items.
- Creates purchase orders in a timely manner based on shortages ensuring PO’s are in the system (SAGE) prior to material arrival.
- Requests samples from new or existing suppliers.
- Request quotes, MOQ and lead times on items being considered for purchase.
- Arranges transportation of raw materials.
- Follows up with the vendors to make sure their committed PO due date is going to be met.
- Provides QC Manager with material specifications (i.e. CofA, MSDS, technical drawings from vendor/manufacturers or job jackets).
- Ensures C of A’s are sent with new purchase orders and works closely with QA on any requests for re-certification requiring new/updated C of A’s.
- Addresses quality, short ships and/or damaged shipments issues for incoming raw materials.
- Negotiates and confirms raw material pricing and based order quantities required for PO. Works closely with supplier and AP on any invoice discrepancies.
- Performs other duties as assigned.

AUTHORITY
This position reports to the Purchasing Manager.
The position closely collaborates with Accounting, Manufacturing, Sales, Quality Assurance, Quality Control, Production and Lab personnel.
SUPERVISORY RESPONSIBILITY
This position is not a managerial role and does not have any supervisory responsibilities.
CLASSIFICATION
This is a full-time exempt role.
EDUCATION
- High School diploma
- Bachelor’s degree in Business, Finance, Supply Management, or related field
- Equivalent Experience
WORK EXPERIENCE
- At least five years of experience is required in procurement, preferably public sector, with specific experience in the preparation of highly technical and/or complex solicitation documents for the procurement of commodities and services and in using automated procurement systems and/or processes
- Certification as a Certified Professional in Supply Management (CPSM), Certified Purchasing Manager (C.P.M.) or Certified Public Purchasing Officer (CPPO) can be substituted for two of the five years of experience.
- Certification by a recognized professional organization is preferred, including: Certified Professional in Supply Management (CPSM), Certified Purchasing Manager (C.P.M.), Certified Public Purchasing Officer (CPPO), and/or Certified Professional Public Buyer (CPPB).
OTHER QUALIFICATIONS
- Strong verbal and written communication skills as well as excellent interpersonal skills are required.
- Administrative skills are required.
- Computer literacy is required.
- The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.
SPECIAL DEMANDS
Office environment. Communicate by telephone, e-mail, and in-person discussions with a high level of inter department contact. Works closely and positively with all staff members. Nearly always work indoors. May on occasion be exposed to loud sounds and distracting noise levels. Repeat the same mental activities. Must meet daily and weekly schedules. A standard 40-hour week is required.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position may requires the employee to occasionally lift office products and supplies, up to 20 pounds.
