The Academic Affairs Department at Florida State University Panama City (FSU PC) consists of faculty and staff who are dedicated to excellence in teaching, research, service, and student success. At FSU PC, the Academic Affairs Department encompasses personnel from the Offices of the Dean, Faculty, Faculty Support, Registrar Services, the Chapman Center for Academic Advising and Student Success, the Cook Library and Learning Center, and the FSU College of Applied Studies (an FSU College with administration housed at FSU PC). Academic staff from these offices provide essential services to support students in their academic pursuits across all FSU PC programs, which include 20 bachelor's programs, 9 master's programs, and 1 doctoral program. This Senior Academic Specialist position will work with faculty and staff across the FSU PC Academic Affairs offices and serve essential functions for students progressing toward a degree. Responsibilities
This Sr. Academic Specialist position is responsible for completing complex academic administration and outreach to support the effective operations of Academic Programs administratively housed at FSU PC and in the College of Applied Studies. Day-to-day responsibilities include managing academic processes regarding student progress in their major, academic standing, academic records/completion requirements, academic mapping, and coordinating with other staff and faculty for academic problem-solving. This position also requires daily communication with students and working with students, faculty, and staff to ensure excellence in academic counseling, guidance, and advising services. More specifically, core responsibilities include, but are not limited to:
  • Provide essential academic administrative services (e.g., processing admissions referrals, major certifications, progress checks, and implementing program policies for dismissals and probations).
  • Serve as the Mapping Coordinator for the College of Applied Studies and work with faculty and staff to coordinate admissions to the major, major changes, graduation clearances, completion of certificates, assistance with withdrawals/drops, etc. As mapping coordinator, ensures adherence to mapping policies at the university across programs.
  • Work with the Chapman Center and College of Applied Studies advising team to help ensure effective academic supports and success initiatives are implemented for students, provide advising services and/or serve as a backup for advising when appropriate, engage in retention and student success initiatives and Academic Program outreach.
  • Work with other faculty and staff to ensure academic and curriculum completion policies are up to date and effective, engage in policy development and work with the Dean's office administrators for academic operations solutions.
  • Assist students in academic processes and provides advice for students experiencing personal circumstances, serves as an important point of contact for students and liaison between academic and student affairs supports.
  • Engage in impactful support to students, effective communication with colleagues, and emphasize student success.

Qualifications
Bachelor's degree and four years of related experience; or a high school diploma/equivalency and eight years of related experience.
(Note: or a combination of post high school education and experience equal to eight years.)
Knowledge of effective principles and practices related to student program planning, development, and evaluation.
Ability to deal with people calmly, confidently, and with complete objectivity.
Ability to exercise creative and critical thinking in evaluating situations and developing solutions.
Experience performing accurately in a detail-oriented and time-sensitive environment.
Ability to handle confidential, sensitive information with the highest degree of professionalism.
A valid State of Florida driver's license or the ability to obtain upon hire.
Preferred Qualifications
Master's degree in a relevant course of study and at least two years of experience in work related to academic administration.
We especially seek candidates who have expertise in interpreting and following university policies, demonstrated success in providing academic support to university students, and have superior communication and interpersonal skills.
