Description of Work Unit
The Office of the Registrar provides leadership and service in student enrollment and academic record management that supports recruitment, retention, and graduation goals of Colorado State University. Position Summary
This position exists to provide support for CLSS scheduling software. This position will serve as the lead scheduling coordinator working with over 100 department schedulers from across campus to provide support for building out schedules of classes each term. In addition, this position is responsible for assessing current processes for efficiency and accuracy. This position is also responsible for pulling and analyzing data from Banner, EMS and CLSS related to classroom utilization, seat fill, spread of classes, restrictions, section builds, contact hours and other critical data points that impact facilities utilization, reporting and registration.

Required Job Qualifications

  • Two or more years of experience working full-time in the Office of the Registrar or enrollment services department at an institution of higher education.
  • One or more years working full-time with Banner or various academic software products (i.e., EMS, CourseLeaf CAT, CIM, CLSS products).
  • Demonstrated ability to generate process documentation.
  • Demonstrated ability to design comprehensive test scenarios.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong interpersonal communication skills as demonstrated by respectful and effective interactions with diverse constituencies including but not limited to students, faculty, staff, and vendors at all levels.

Essential Duties

Academic Planning Support and Coordination

Duty/Responsibility
  • Assist with the class schedule build process each term.
  • Execute larger portions of approvals in CLSS queue during academic review phase.
  • Identify University policies and procedures relevant to this position and collaborate with appropriate departments to ensure accuracy of all course listings including comments, fees and fee codes, drop/add dates, all restrictions, pre-requisites, saved seats, course descriptions and other course specifics by auditing all course information against the university course catalog.
  • Negotiate conflicts between departments wanting same room and same time, with same equipment requests.
  • Lead liaison with Student Disability Center to identify appropriate general assignment classrooms to support accommodations.
  • Assist with special University initiatives such as Mid-Semester Courses, Chem Prep and related AUCC holding courses, hide and open CO 150 sections through Ram Orientation, etc.
  • Coordinate with CSU Online to build out and reconcile 801/401 summer model.
  • Build out the Semester at Sea class schedule each term.
  • Run final exam process in EMS.
  • Coordinate with the Academic Planning Software Manager to build out final exam process in CLSS.
  • Coordinate with academic departments to develop evening exam schedule and assign general assignment classrooms to evening exams.
  • Coordinate block scheduling and build out blocks each term.
  • Coordinate each term with the CSU Bookstore to receive and update open educational resources attribute on the class schedule.
  • Identify University policies and procedures relevant to Key and Honors courses.
  • Notify departments of inconsistencies and facilitate modifications to data irregularities. Track all changes to the schedule and communicate changes to students/staff.
  • Assist Learning communities and other special academic programs with creation of class schedule each term.
  • Create cross listed Key sections allowing Key students to register.
  • Implement the registration restriction system by determining and applying accurate restriction codes for specific sections.
  • Assign registration restriction codes in Banner and publish corresponding section text comments in the online class schedule (code in two places).
  • Assist with finding solutions for complex section builds in Banner to meet needs of departments.
  • Provide back up to Curriculum and Catalog team as needed.
  • Provide back up for EMS event scheduling as needed.

Duty/Responsibility
  • Work Classroom Scheduling edit reports to ensure data in Banner is accurate, including data matching between course and section, bad grade modes, contact hours, differential tuition attributes, etc.
  • Analyze restriction lift process and make recommendations to develop consistency, accuracy and efficiency.
  • Utilize EMS and CLSS to pull data related to room utilization, seat fill percentages, spread of classes, contact hours, etc.
  • Analyze data from Banner, EMS and CLSS to make recommendations to improve processes and outcomes.
  • Analyze issues and problems and identify data entry errors in the student information system, curriculum management system, and university scheduling software and implement procedures to resolve errors and reduce their recurrence.
  • Determine what reports or processes are needed to ensure data accuracy and integrity of all classrooms, course section and catalog data.
  • Manage data integrity and accuracy for all course section information that is a foundation for student registration.
  • Reconcile data between CourseLeaf and Banner.
  • Monitor data and attributes for accuracy including, differential tuition attributes, AUCC and GT pathways attributes, and other critical attributes that impact fiscal assessment and state and federal reporting.
  • Gather and make public information regarding scheduling patterns, utilization of available seats, and other details germane to conversation about effective use of physical space.
  • Analyze estimated vs. actual enrollment in sections and make recommendations regarding section placement and seat fill.
  • Complete analysis of large and extra-large general assignment classrooms and make recommendations regarding section placement and classroom utilization.
  • Complete analysis of available space in EMS to better plan for upcoming renovations and room remodels.
