Job Description
Clason Point Partners Inc (CPP) has an opening for a temporary Secretary III on a federal contract in Alexandria, VA to provide direct support to the government Leadership Team (Director and Principal Deputy Directors) on all mission efforts in support of the Office of the Director on a short-term basis.
Duties include
Calendar management, including the following:
- Making and accepting meetings;
- Balancing and clearing conflicts by coordinating with POC of the conflict;
- Weekly calendar review with Director and Deputy Director to discuss upcoming meetings/scheduling;
- Coordinating multiple schedules and meetings of various priorities;
- Creating Director’s daily calendar folders for all pertinent daily information (schedule, meetings, read-aheads, briefings, directions, parking, any other information necessary).
Completing special projects as well as routine SharePoint requests (included, but not limited to, updating newsletters, ensuring URLs are linked to appropriate SharePoint sites, updating home page banner, creating SharePoint sites, and adding/deleting content in SharePoint).
Scheduling weekly briefings to discuss changes to sites, assisting with parking permits, and provide any other information necessary.
Generating monthly Learning Management System (LMS) training reports.
Updating Supervisor's Toolkit site and attending monthly Supervisor Toolkit meeting.
Creating and managing TMT and CATMS accounts.
Ensuring that Director and PDDs have all necessary briefings, read-aheads, and other pertinent information and support required daily, and that all materials are created to meet leadership’s requirements; attend and support meetings as requested (taking meeting minutes).
Answering all phones and screen incoming calls appropriately (Director, Director’s conference line, PDDs, Special Assistant to Director – seven extra phone lines); routes incoming requests to the appropriate individuals.
Receiving any visitors for Director and PDDs, to include senior-level visitors and Distinguished Visitors.
Compiling Weekly Activity Report.
Providing travel support.
Coordinating Executive Visitor Space.
Educational Background and Experience
Associates or BS/BA preferred, but not required with comparable work experience.
Minimum one (1) year experience providing Administrative Support at the Executive Level.
Demonstrated ability to write and edit complex information in a clear and concise manner.
Demonstrated ability to provide quality customer support.
Skills & Knowledge
Excellent communication skills: preparation of briefings, editing correspondence, briefing slides, and memorandums.
Ability to multi-task in support of Executive(s).
Ability to establish relationships and contacts and interact diplomatically with high-level internal and external personnel.
Proficient with Microsoft Office Suite: Outlook, Word, Excel, Project, PowerPoint, and SharePoint
Demonstrated ability to write and edit complex information in a clear and concise manner.
Strong oral and written communication skills.
