General Statement of Job:
The Secretary/Bookkeeper is responsible for assisting the Principal as needed. The school bookkeeper is responsible for being familiar with and complying with applicable law and board policy; keeping a complete record of all monies in his or her charge, following the procedures required by the finance officer; making deposits daily and performing other duties as assigned by the principal. The school secretary is responsible for obtaining substitutes and entering all payroll for his or her school, handling payroll issues, and entering purchase orders.
Specific Duties and Responsibilities:
- Substitutes
- Payroll - Speed/TACS
- Purchase Orders
- Receive all monies, prepare deposits, travel to bank
- Process invoices for payment
- Write checks
- Reconciling bank statement
- Handling NSF checks
- Internal Advances
- Maintain inventory of pre-numbered tickets and receipt books
- Any accounting responsibilities as required by the Finance Officer or Principal
- Any secretarial responsibilities as required by the Principal
- Compile and place all orders for school and teachers
- Maintain copiers
- Travel reimbursement for staff members
- Year-End procedures for finance officer and auditors
Additional Job Functions or Assigned Tasks:
- Compile Staff Handbook
- Compile Substitute Handbook
- Maintain key inventory
- Organize and plan Staff Appreciation Week
- Organize end of year and beginning of year luncheons
- Assist with organizing proctors for testing
- Backup for Receptionist as needed
- Notary
- Enter maintenance work orders
Minimum Training and Experience:
- High School diploma with Associate's Degree preferred; general office experience
Minimum Qualifications or Standards Required to Perform Essential Job Functions:
- Good knowledge of Microsoft Word and Excel
- Ability to communicate Ability to sit, walk, stand, lift, and push
- Ability to multi-task
Other Requirements:
- An example: Must maintain an acceptable attendance record and be punctual

School Data Manager
Job Description
Reports to: Principal
NATURE OF WORK: The school level PowerSchool Data Manager is the liaison between the school administration and the LEA PowerSchool Coordinator.The employee performs a variety of technical and computer support functions for the student information system, PowerSchool. Work involves operation of computers, printers, and other peripheral equipment. The position requires a thorough knowledge of student accounting procedures and regulations, and the ability to accurately enter data from source documents. In addition, the employee should have the capacity to effectively generate, analyze and report data, and have sound operational knowledge of the overall functionality of PowerSchool. The employee works under general supervision where goals are provided and the employee, within established guidelines and procedures, accomplishes them. The ability to communicate effectively with a wide variety of groups including students, teachers, principals, counselors, central office staff, parents, and local governmental agencies is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
-Serves as the PowerSchool system expert for the assigned school by entering, summarizing, analyzing, and reviewing data for accuracy to produce standard, custom and confidential reports for the assigned school principal and LEA administrators. Also, reconciliation of local agency, state and federal reports
-Administers PowerSchool User Security for assigned school, coordinating with district personnel
-Manages student information, attendance reporting, grade reporting, registration and scheduling, discipline reporting, etc. Also, manages data as mandated by the state or school district
-Maintains records of student withdrawal from school, record of reasons for student withdrawal and students planned destination. Prepares periodic statistical enrollment/withdrawal reports
-Facilitates transfer of student information between schools, including records requests
-Accesses the Internet to review and/or download student information-related materials
-Provides information and/or training to co-workers and school staff on the use of
PowerSchool and application of data produced from the system
-Coordinates and oversees distribution of Parent Portal login information and responsible for quality assurance of parent User IDs and passwords
-Works with a variety of departments to accurately input, maintain, reconcile and report data to school system business owners
-Assures coordination of both verbal and written information to district employees
-Perform other related work as required; in addition, to completing special projects as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
-General knowledge of computers, computer commands, peripherals, and various operating systems
-Ability to work with a high degree of accuracy
-Knowledge of attendance regulations and student accounting procedures, as outlined in the N.C.School Attendance and Student Accounting Manual
-Sound knowledge of district enrollment practices and procedures
-Considerable knowledge of data management, policies and procedures
-Considerable knowledge of word processing software, spreadsheets, and Databases
-Ability to troubleshoot hardware and software problems
-Ability to apply independent judgment in correcting data errors or omissions
-Ability to exercise a high degree of confidentiality regarding student information in accordance with federal privacy laws, and any additional standards required by the state or local school district
-Ability to communicate well with school personnel, parents, students, central office staff and outside entities, including local judicial or governmental agencies
MINIMUM TRAINING AND EXPERIENCE:
All candidates for this position must have a minimum of each of the following requirements:
-High School Graduate
-Two years of experience as a PowerSchool Data Manager preferred or other relative work experience directly related to a computer system which requires knowledge of entering, editing, and finalizing source data
PHYSICAL DEMANDS:
-Must be physically able to operate a variety of equipment including computers, scanners, computer software, etc.; ability to exert up to 10 pounds of force occasionally and/or up to 5 pounds of force frequently
-Ability to record and deliver information, explain procedures, and give oral and written instructions in mathematical or diagrammatic form.
