School Operations Manager (With Reggio Emilia Approach Experience)- Full Time (2 positions - 1 already hired)
Our Beginning LLC is currently seeking a School Operations Manager for Children's School to join their team in Seattle, Washington (98107).
Salary: $65,000 - $73,000 Per Year

Our Beginning is a licensed, full-day, educational program with option dual language classrooms (English, Spanish, and Mandarin). We provide engaging social, physical, creative, and cognitive learning opportunities for each child. All programming is deeply rooted in the Reggio Emilia philosophy. In addition to the Reggio Emilia philosophy, for infants and toddlers, we also embrace the Resources of Infant Educarers (RIE) programming.
About the Job:
Our Beginning is seeking a School Manager/Operations Manager. This person will be a highly motivated, team oriented, and organized professional with Reggio Emilia experience eager to work with the Founder in supporting a workforce of approximately 50 educators and upward to 200 children enrolled at the school.
The School Manager/Operations Manager is one who leads the day-to-day overall School Operations. First lead with love, kindness, joy for children, compassion, generosity, grace, and forgiveness. Having a mindset that leans into learning and reflection for oneself and with a commitment toward helping and elevating those around you to succeed.
Supervises and the following team members and manages their schedules:
  • Faculty and Staff

Focus:
  • Day to Day overall School Operations and program; direct and manage.
  • Safety: The first 3 priorities of the School Operations Manager is safety, safety, and safety of the children.
  • Ensures safety, protection of childhood and workplace for all staff and children.
  • Ensure ensures enrollment goals are met.
  • Establish, grow and ensure non-instructional staff hiring and retention goals are met.
  • Manages school-based enrollment per policy.
  • Supervises School Admin team members; manages School Admin team schedules.
  • Establish, grow and ensure non-instructional staff hiring and retention goals are met.
  • Lead team to provide content to Director of School Operations for school-based School Newsletter (for families) and Weekly Connection (for teachers/staff).
  • Oversees, populates, and analyzes data from Child Plus, incident reports, ProCare, disaster drills, family gathering data, neighborhood walk forms and all other data platforms and reports provided to Director of Operations.
  • Point Person between School and Village Team.
  • Perform other duties as assigned by the Director of School Operations and/or the Founder.

Program Operations Management:
  • Manages Daily non-instructional staff schedules
  • Approves PTO requests of all school staff and teachers
  • Maintaining ratios as needed by WAC
  • Ensuring appropriate shift coverage and manages daily teacher schedules
  • Manage call-out system for faculty and staff.

Family Engagement:
  • Create opportunities for further involvement or parent education.
  • Establish regular communication cadence with families.
  • Coordinate monthly class meetings and ensure each classroom has an active room parent representative. Ensure agendas, sign sheets and notes are kept for each meeting.
  • Analyze Family Gathering information to ensure summaries are integrated into daily programming.

Program Supervision:
  • Weekly or more classroom observations as determined
  • In partnership with Education Department, support teachers with child assessments, communication with families; regular 1:1
  • Documenting two-way feedback and mentoring staff.
  • Collaborate with Admissions and HR to update Program/Family Handbook that is specific to the school.
  • Provide support to teachers by identifying training opportunities.
  • Monitor staff professional development trainings and notify education department of "due soon" items.
  • Mentor/train direct reports on School Operations and program policies and procedures.

Licensing Compliance:
  • One of the contacts for the Department of Children, Youth and Families (DCYF) Licensor
  • Ensure incidents are reported to DCYF or Child Abuse and Neglect withing 24 hours and parents are notified.
  • Ensures all the WAC State and other mandates for the school are in compliance.
  • Conducts school-based classroom walkthroughs to complete visual checks on health and safety regulations including required postings in classrooms.
  • Monitors CCOF program and certification in collaboration with the Kitchen Manager and Food Services Manager/Director.
  • Ensure records are maintained according to the Record retention implementation policy.
  • Keeps knowledge of WAC and MERIT current so knowledge can be shared with teachers and families.
  • Ensures teachers adhere to organizational standards, principles, and HR policies.
  • Ensure physical, mental, and intellectual safety of all children and staff as per WACs.

Hiring and Classroom Orientation:
  • Works with HR Generalist and Director of Operations on non-instructional staffing plans.
  • Participates in new hire orientation, onboarding and classroom/kitchen on-boarding with Education Department and HR.
  • Engages in Performance Evaluation with Director of HR and Director of Education.
  • Review daily time and attendance portal prior to payroll to confirm, clean up attendance records. Confirm attendance with Director of School Operations.
  • Maintain Staff files.

Finance, Budget Awareness and Payroll Management
  • Track classroom budget and monthly activities.
  • Be aware of overall school budget and finance goals.
  • Other operational fiscal decisions as determined and authorized
  • Review and confirm school-based employee payroll; inform Director of HR, Finance Manager
  • Maintains daily time and attendance portal and Payroll Notes for semi-monthly payroll processing.
  • Tracks staff attendance and notifies HR and Director of Operation of attendance violations.

Education and Experience:
  • Have a minimum of 5-7 years of supervisory and classroom experience.
  • They must have experience in Reggio Emilia approach.
  • Knowledge and experience of Resources for Infant Educarers (RIE) is a plus.
  • Experience in building a school community is a must.
  • BA in Early child Education or closely related field. Master's degree preferred.
  • Must be able to repeatedly lift and carry up to 50 pounds, bend, kneel, squat, stoop and reach as is needed in a typical early learning program.
