Job description

Primary Function

Responsible for overseeing, organizing, and leading the Schedulers in all aspects of processes related to achieving the highest level of customer satisfaction possible. Implements and maintains standardized processes that result in increased project management performance. Works with the team to create an environment that is positive and conducive to solving issues. Ensure the collection, analysis, and dissemination of all data relevant to determining, measuring, and improving customer satisfaction levels as it relates to project management and review performance. Maintains professional standards, expectations, and processes for the Scheduling Team to adhere to that align with Quality Built’s Mission, Vision, & Values, as well as the general standards of the Scheduling Department. This position reports to the Director of Project Operations West Division.

This is a non-exempt position.

Specific Duties

  • Supervise the implementation of Scheduler schedules, processes, work instructions and daily activities.
  • Ensure process monitoring and reporting is completed as required.
  • Analyzing and reporting on set standards and metrics for performance by the Scheduling team.
  • Training for all new and existing Scheduler personnel on department specific duties as well as other department personnel on all QB products/services.
  • Regular communication with other company departments, including field operations managers, project coordinators, and sales, to promote alignment of the project performance with the company’s systems and processes will be necessary.
  • An on-going review of data collected at a macro level on each project to ensure field personnel are performing services in accordance with the contract and company guidelines will be required, along with a monthly review of project budget status and scope remaining.
  • Manage metrics/analytics programs to help make data-backed business decisions.
  • Creates, develops, and maintains systems to streamline interactions between Scheduling Department, Operations Department, and other departments or external partners as needed.
  • Maintain KPI Scorecards and Exception Reports used to monitor project status.

Education and Skills Requirements

  • High school diploma or GED.
  • Knowledge of homebuilding industry preferred, but not required.
  • Meticulous, analytical, and highly organized.
  • Highly proficient in Excel, Word, MS Outlook.
  • Comfortable in a data-driven environment with proprietary software and construction database tools.
  • Ability to work within a highly structured (ISO9001) company, but eager to suggest and implement changes that will lead to continuous improvement.
  • Excellent verbal and written communication skills.

Machines, Tools, and Equipment

  • Machines common to usual office operation including telephones, copiers, computers, and database computer software.

Physical Requirements

  • Primary posture is sitting, although walking and standing in the home-office setting is required.

Standard Work Hours

  • Normal work hours are 8:00 am to 5:00 pm. From time to time, specific work assignments may require 40 plus hours, including evenings and weekends, as requested by your supervisor or an executive.
